Position Summary
The Assistant Bookkeeper / Office Administrator will work closely with leadership and team members to maintain accurate financial records while ensuring smooth day-to-day office operations. This dual role requires strong organizational skills, attention to detail, and the ability to balance multiple responsibilities in a fast-paced environment. Responsibilities
- Enter invoices, receipts, and expenses into QuickBooks or equivalent accounting software.
- Reconcile bank accounts, credit cards, and vendor statements.
- Assist with accounts payable/receivable, invoice processing, and collections follow-up.
- Support payroll preparation and employee expense reimbursements.
- Maintain accurate financial spreadsheets, records, and reports for management.
- Ensure compliance with internal controls and filing requirements.
Office Administration
- Serve as the first point of contact for vendors, staff, and visitors.
- Manage office supplies, purchasing, and vendor relationships.
- Support meeting scheduling, travel coordination, and staff calendar management.
- Assist with HR-related tasks such as onboarding, maintaining personnel files, and policy distribution.
- Draft correspondence, reports, and other communications as needed.
- Keep the office environment professional, organized, and compliant with safety standards.
Qualifications
- Associate’s or Bachelor’s degree in Accounting, Business Administration, or related field preferred.
- 1–3 years of bookkeeping, accounting support, or office administration experience.
- Proficiency in Microsoft Office Suite (Excel, Word, Outlook).
- Experience with QuickBooks (required) or similar accounting systems.
- Strong organizational and problem-solving skills with attention to detail.
- Ability to manage multiple priorities and meet deadlines.
- Excellent communication skills (verbal and written).
- Prior experience in a manufacturing environment is a plus.
