As part of our continued growth, we are seeking a motivated Assistant Bookkeeper / Office Administrator to support financial operations and administrative functions while contributing to a culture of efficiency and accountability.

Position Summary

The Assistant Bookkeeper / Office Administrator will work closely with leadership and team members to maintain accurate financial records while ensuring smooth day-to-day office operations. This dual role requires strong organizational skills, attention to detail, and the ability to balance multiple responsibilities in a fast-paced environment. Responsibilities

  • Enter invoices, receipts, and expenses into QuickBooks or equivalent accounting software.
  • Reconcile bank accounts, credit cards, and vendor statements.
  • Assist with accounts payable/receivable, invoice processing, and collections follow-up.
  • Support payroll preparation and employee expense reimbursements.
  • Maintain accurate financial spreadsheets, records, and reports for management.
  • Ensure compliance with internal controls and filing requirements.

Office Administration

  • Serve as the first point of contact for vendors, staff, and visitors.
  • Manage office supplies, purchasing, and vendor relationships.
  • Support meeting scheduling, travel coordination, and staff calendar management.
  • Assist with HR-related tasks such as onboarding, maintaining personnel files, and policy distribution.
  • Draft correspondence, reports, and other communications as needed.
  • Keep the office environment professional, organized, and compliant with safety standards.

Qualifications

  • Associate’s or Bachelor’s degree in Accounting, Business Administration, or related field preferred.
  • 1–3 years of bookkeeping, accounting support, or office administration experience.
  • Proficiency in Microsoft Office Suite (Excel, Word, Outlook).
  • Experience with QuickBooks (required) or similar accounting systems.
  • Strong organizational and problem-solving skills with attention to detail.
  • Ability to manage multiple priorities and meet deadlines.
  • Excellent communication skills (verbal and written).
  • Prior experience in a manufacturing environment is a plus.
