Prospera is recruiting a full-time Office Assistant who will report to Prospera’s Central & Northeast Florida Vice President. Routine and regular availability during the day, with some early evening and weekend support required.

The ideal candidate will be responsible for providing administrative support, managing front desk operations, and ensuring smooth office functionality. This role requires excellent organizational skills, proficiency in various office software, a strong commitment to customer service, and fluency in written and spoken English and Spanish. As the first point of contact for clients, partners, and visitors, the Office Assistant helps create a professional and welcoming environment.

The position’s primary responsibilities include:

  • Provide excellent client serviceby promptly and courteously answering a multi-line phone system, directing calls, and assisting with general inquiries.
  • Welcome and support visitorsby greeting them warmly, offering information about Prospera’s services, and ensuring a positive first impression.
  • Maintain an inviting office environmentby keeping common areas neat, preparing conference rooms for meetings, and arranging catering for special events.
  • Support daily operationsby distributing mail, monitoring deliveries, and coordinating with shipping services for urgent packages.
  • Keep the team running smoothlyby monitoring office/kitchen supplies, placing orders, and ensuring resources are available when needed.
  • Assist with communications and administration, including drafting correspondence, sending reminders for committee meetings, and preparing bulk mailings.
  • Contribute to organizational successby providing additional administrative support to the Regional Vice President and team as needed.
  • Assist with daily office activitiessuch as preparing meeting materials, making copies, and supporting general administrative needs.
  • Conduct web-based researchto gather information and resources that support staff and organizational initiatives.
  • Support event planning and executionfor associate gatherings, customer functions, and community-related events.
  • Manage calendars and agendasfor the Regional Vice President, ensuring meetings and priorities are well-organized and aligned.
  • Manage office equipmentsuch as printers, copiers, and phones to ensure they remain in proper working order.
  • Coordinate orientationsby preparing training spaces, guiding attendees, and assisting with logistics.
  • Help maintain a smooth office flowwith miscellaneous tasks like making coffee, emptying trash, and pitching in wherever needed to support the team.

Requirements:

  • Education:High school diploma or equivalent required; additional training or coursework in administration or office management is a plus.
  • Experience:Minimum three years of administrative support experience in a business, nonprofit, or government setting.
  • Communication skills:Excellent interpersonal and written communication skills.
  • Language skills:Fully bilingual in English and Spanish required.
  • Technology skills:Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, and Teams).
  • Professional qualities:Organized, detail-oriented, strong critical thinking skills, and ability to multitask in a fast-paced environment.
  • Other requirements:Reliable transportation, a valid driver’s license, and the ability to pass a background check.
