Overview
The Office Coordinator provides secretarial support to clinical staff. Responsibilities include answering telephones, screening and routing calls, retrieving and relaying messages, verifying patient information for registration and insurance, coordinating patient scheduling, and supporting patient treatment documentation and claim submission.
Responsibilities
- Provide secretarial support to clinical staff; answer and screen calls, route appropriately, and relay messages.
- Verify patient information for registration and insurance verification; coordinate patient scheduling internally and externally.
- Obtain pre-certification as required by healthcare insurers and/or managed care.
- Scan and enter documentation into EMR to substantiate patient treatment and claim submission.
- Participate in unit activities to promote patient satisfaction and performance improvement.
- Core Job Functions: verify patient demographics, insurance, and other information required to submit claims; collect information necessary for government and health system analysis; scan documentation to support insurance and claim processing.
- Coordinate communications to ensure messages reach the appropriate person; respond timely to inquiries according to protocol; prioritize messages and follow up on urgent items.
- Monitor precertification needs; perform initial and concurrent reviews until precertification is obtained; collaborate with other departments to mitigate denials.
- Assist with fiscal aspects related to patient billing and coding; correctly bill and document charges.
- Schedule patients and providers according to SOPs, maintain clinic schedule for appropriate patient flow, and review daily authorization status with insurance representatives.
Qualifications
- Education: High School Diploma General Studies - Preferred
- Experience: 1-2 Years General Medical Office - Preferred
- License & Certification: None Required
