This role also provides leadership for the Finance department, supporting the operations of Acqualina Resort and Residences on the Beach. REPORTS TO: Chief Executive Officer SUPERVISES:
Staff Accountants and other Finance staff as required. WORK ENVIRONMENT:
Accounting offices. Job involves working: under variable temperature conditions (or extreme heat or cold). under variable noise levels. outdoors/indoors. around fumes and/or odor hazards. around dust and/or mite hazards. around chemicals. KEY RELATIONSHIPS:
Internal: Accounting, Department Managers/Assistants, Condominium Staff, Hotel Unit Owners and Hotel Staff. External: Vendors and residents. Essential Job Functions Oversee the Accounting department, to include their daily operation of the Finance Department. Ensuring timely and accurate financial accounting and reporting. Effective internal accounting controls and providing financial advisory services to operations. Ensuring all policies and procedures, internal accounting controls and systems controls are observed by all hotel management. Safeguarding all hotel assets and financial resources to ensure they are utilized to maximize the hotel profitability. Providing coaching and guidance to the team, as well as all leaders in the respective areas. Provide Director of Finance advice and guidance on financial and technical issues. Attend Condo Board Meetings when necessary and provide advice and financial strategy to the Board of Directors as needed. Conducts staff performances evaluations, recommends and suggests measures and actions. Responsible for the appointment, training and instruction of a competent designee within the staff who fully assumes duties during any absences. Completes any other duties assists other Executive Committee stakeholders. CPA required. Financial Reporting Prepare and review financial statements in accordance with GAAP (or IFRS). Provide accurate and timely internal reports for executive leadership and board members. Ensure compliance with local, state, and federal reporting requirements. Prepares financial statements of all entities, including Income statements, Balance Sheets, and Statements of Cash Flows. Reviews and critiques monthly P&Ls with department managers and reports to the Director of Finance on the organization’s financial status. Ensures all balance sheet accounts are properly accounted for and reconciled monthly. Arranges for audits of select entity accounts as required. Budgeting & Forecasting Support Assist in the preparation of the annual operating budget. Monitor budget-to-actual variances and provide actionable insights. Assist in the preparation of the annual operating budget. Monitor budget-to-actual variances and provide actionable insights. Prepares budgets for all entities under control, reviews department budget proposals, and provides supporting documentation. Prepares reports summarizing and forecasting company activity, including daily flash reports, weekly forecasts, etc. Effectively monitors departmental expenditures to stay within budget, managing labor and purchasing controls. Understands, monitors, analyzes, and reviews owner rental programs, leases, and related payments. Audit, Tax, and Compliance Coordinate and lead external financial audits and prepare audit schedules. Manage tax compliance and work with external tax advisors as needed. Maintain internal controls and implement improvements to safeguard assets. Stays up to date with tax and compliance matters; ensures timely tax filings and remittance of collected taxes. Ensures insurance coverage is maintained, timely paid, and policies are in compliance (COI policies). Develops and maintains written Standard Operating Procedures for critical accounting processes. Assists with account audits and other compliance-related tasks. Experience 5+ years of progressive accounting experience, including at least 2 years in a leadership role. Experience in hospitality, real estate, or luxury. Familiarity with financial reporting software (e.g., Yardi, Opera, Great Plains, BirchStreet). Overseeing all accounting functions, including general ledger, accounts payable, receivable, payroll, and fixed assets. Managing accounts payable and receivable, ensuring timely payments and collections, including credit card dispute monitoring. Handling month-end and year-end close processes. Supporting the Director of Finance and performing responsibilities in the absence of dedicated staff. Skills Financial analysis and reporting skills. Budget development and management. Internal controls and reconciliation expertise. Knowledge of tax regulations and compliance. Audit coordination and process documentation. Communication skills for reviewing financial statements and collaborating with department managers and residents as needed. SUPERVISORY RESPONSIBILITIES:
Directly supervises employees in the Accounting Department. Carries out supervisory responsibilities in accordance with the organization's policies and applicable laws. Responsibilities include interviewing, hiring, and training employees; planning, assigning, and directing work; appraising performance; rewarding and disciplining employees; addressing complaints and resolving problems. EDUCATION AND/OR EXPERIENCE:
