Description
Position Summary:
The Front Desk Office Administrator serves as the first point of contact for visitors, vendors, and staff at Lyon Bakery. This position plays a critical role in representing the company's culture and professionalism. In addition to front desk responsibilities, the Administrator will provide direct administrative support to the CEO and Human Resources department, ensuring smooth day-to-day operations and contributing to the efficiency and effectiveness of leadership and HR functions.
Key Responsibilities:
Front Desk Operations: Greet and direct visitors, vendors, and deliveries in a professional and friendly manner. Answer and route incoming phone calls and emails promptly. Maintain a clean and welcoming reception area. Receive and distribute mail, packages, and correspondence. Administrative Support to CEO:
Schedule meetings, appointments, and travel for the CEO as needed. Prepare and organize materials for leadership meetings or special projects. Assist with calendar management and communication follow-ups. Human Resources Assistance:
Assist HR with onboarding coordination (scheduling interviews, preparing welcome materials, collecting documents). Maintain confidentiality while handling employee files and sensitive HR information. Help with scheduling HR-related meetings, trainings, and company-wide announcements. Support in compiling reports, memos, and HR communication drafts. Office Management:
Order and maintain office supplies and inventory. Coordinate facility maintenance and liaise with service providers as needed. Assist with internal event planning (employee appreciation, meetings, celebrations). Qualifications
Qualifications:
High school diploma or equivalent required; associate's or bachelor's degree preferred. 2+ years in a front desk, administrative, or office support role. Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint). Excellent organizational and communication skills. Professional demeanor, with a strong customer service orientation. Ability to multitask and maintain discretion with confidential information. Fluent in English; Spanish a plus. Work Environment:
Fast-paced office setting. Regular interaction with all levels of staff, vendors, and external partners. Occasional need to adjust hours to accommodate special events or executive needs. Onsite Monday-Friday 8:45 am to 5:00 pm.
