The HR Coordinator, under the supervision of the Director of HR Operations, provides administrative and operational support across several areas of Human Resources (HR). This position is responsible for processing new hires, employee changes, and offboarding, as well as maintaining accurate records in the HRIS. The HR Coordinator also manages departmental communications, assists with compliance processes, and supports various HR and organizational functions. This role requires strong organizational skills, attention to detail, the ability to handle confidential information, and the capacity to work independently with good judgment.

Qualifications

Education/Certification

  • Bachelor’s degree in Human Resources or a related field (preferred)

Experience

  • 1–2 years of professional office experience.

Knowledge, Skills, and Abilities

  • Proficiency in Microsoft Office Suite and Google Workspace tools
  • Excellent organizational skills with the ability to manage multiple priorities effectively
  • Strong written and verbal communication skills
  • Exceptional attention to detail and accuracy
  • Customer service mindset with the ability to build effective internal and external working relationships

Responsibilities and Duties

Onboarding & Employee Records

  • Process new hires by verifying qualifications, collecting documentation, ordering fingerprints, and entering data into HRIS
  • Maintain and monitor the new hire tracking sheet to ensure timely onboarding
  • Process service records, I-9 verification, and required affidavits
  • Create and distribute employee ID badges; maintain badge inventory
  • Provide HRIS support to new hires and contracted staff

Employee Changes & Offboarding

  • Process salary adjustments, stipends, coding/title changes, and other staff updates in HRIS
  • Ensure compliance with affidavit requirements and maintain updated employee files
  • Process end-of-employment tasks, ensuring smooth offboarding and accurate records

HRIS, Reporting & Compliance

  • Run weekly onboarding audits and assist with HR/Payroll reports as needed
  • Support PEIMS department with HR/Payroll submissions during reporting cycles (as assigned)
  • Create and maintain school calendars in HRIS (as assigned)

Administrative & Clerical Support

  • Serve as the first point of contact for HR inquiries via phone, email, and in person
  • Route calls and messages to the appropriate HR staff
  • Manage the HR departmental email account and correspondence
  • Order supplies, process purchase orders, and complete credit card reconciliations
  • Maintain departmental inventory and ensure accurate delivery of requested items
  • Prepare reports, presentations, and HR-related documents as needed
  • Provide backup support for other HR staff as required

Cross-Department Collaboration

  • Communicate effectively with Payroll, campuses, and other departments to resolve HR matters
  • Coordinate approvals for volunteers and employees driving on organizational business

Other Duties

  • Perform special projects and assignments as directed by the Director of HR Operations
  • Maintain strict confidentiality at all times

  • Prolonged periods of sitting and computer work required
  • Occasional lifting of up to 20 pounds may be required
