What you’ll do
- Manage scheduling and calendars for the Head of Operations and Operations leadership team, including coordinating meetings across global time zones.
- Prepare and edit correspondence, reports, and presentations with a high level of accuracy and attention to detail.
- Organize and track departmental priorities, deadlines, and deliverables to ensure timely completion.
- Arrange travel and logistics for team members, including booking flights and accommodations and managing itineraries.
- Handle expense reporting and invoice processing in compliance with firm policies and procedures.
- Maintain documentation and records, including team workflows, processes, policy documents, and key operational files.
- Assist with onboarding of new team members, including coordinating training and access to systems.
- Help plan team initiatives and events fostering collaboration and engagement.
What’s Required
- 2+ years of experience in administrative or operational supporting financial services or a fast paced corporate environment
- Exceptional organizational skills and ability to manage multiple priorities simultaneously
- Strong written and verbal communication skills with the ability to liaise effectively across levels and functions
- High attention to detail and commitment to accuracy
- Proactive and resourceful work ethic, with the ability to act independently
- Proficient in Microsoft Office Suite and comfortable learning new systems
- Discretion in handling confidential and sensitive information
- Commitment to the highest ethical standards
