Overview
Administrative Assistant role at Bluegrass Equine Surgery (BES), an equine veterinary practice providing exceptional client service and primary medical care in the central Kentucky region. BES is building a new, diverse, supportive, and driven team. This is a full-time, W2 position with a standard schedule of Monday–Friday.
Title: Administrative Assistant
Reports to: Hospital Manager, Lead Ambulatory Doctor
Hours Per Week: 40 hours
Status: W2 Employee - Full Time

Responsibilities
- Assist in all ambulatory doctors’ needs and provide primary backup support to the Hospital Manager.
- Perform a variety of administrative and supportive tasks to provide efficiency and organization for BES.
- Communicate with farms/clients to receive their sales list to prepare Coggins and EVA certificates.
- Draft Coggins papers and print blood tube labels.
- Send Coggins and EVA results to farms and sales companies.
- Draft and issue Federal Health Certifications within the United States and Canada and bill for them.
- Draft and issue insurance reports for all doctors (e.g., foal insurance, general exams).
- Draft and issue reports to assist doctors (e.g., breeding soundness certificates, death certificates, vaccine certificates) and send to clients, sales, etc.
- Link diagnostic requests to patient profiles in the PMS system (e.g., x-rays, ultrasounds, Coggins, health certificates, lab results).
- Monitor monthly lab results and diagnostics for correct billing.
- Communicate with farms to obtain ownership of horses.
- Assist with billing invoices for field doctors as needed.
- Track continuing education and licenses for all veterinarians, ensuring they are up to date.
- Maintain and input employees’ hours through Dayforce.
- Support the hospital manager with miscellaneous tasks (e.g., planning office events, coordinating vendor maintenance visits).
Qualifications
- High School Diploma or equivalent
- Experience in a veterinary environment, with relevant terminology and protocols
- Ability to work in a team environment
- Customer service orientation
- Ability to handle multiple tasks and priorities
- Strong organizational skills and attention to detail
- Excellent verbal and written communication skills with good interpersonal abilities
- Basic math skills
- Familiarity with EzyVet, FileMaker, and Microsoft programs strongly preferred
Benefits and Pay
Pay Range: $17–$20 USD per hour
PetVet Paid Time Off: 6 holidays annually plus 80 hours of PTO after 90 days; 120 hours after 5 years.
