  • Provide administrative support to all other HR functions.
  • Manage tuition reimbursement and educational requests.
  • Track inventory and order items for new hires and career fair swag.
  • Process Rail Cash and complete monthly reconciliations.
  • Handle/manage corporate credit card and payment of HR expenses.
  • Assist with the quarterly all employee meetings.
  • Handle orders for rail spikes for anniversaries and flowers for other occasions.
  • Create draft calendar each fall for the following year.

Essential Functions – HR Support:

  • Answer routine questions on human resource policies, procedures, and processes.
  • Ensure the company bulletin board has current employment posters to meet state and federal regulations.
  • Assist in the onboarding of new hires including completion of the Form I-9, provision of the new hire swag, and sending communications to new employees.
  • Assist in the completion of all HR Checklists in the HRIS.
  • Assist in the coordination and monitoring of the HRIS and Benefitfirst systems, coordinating with RIIT and Customer Support as needed.
  • Maintain and support a variety of reports/queries using HRIS reporting tools.
  • Provide support and assist users in general HRIS functionality, including resolving technical issues.
  • Review, audit, process, and track all HR invoices for accuracy and timeliness.
  • Assist with the development and coordination of the training calendar and reserving training rooms for the upcoming year.
  • Add all training events to InsideTrack and create calendar invites for each training session.
  • Prepare for training events including organizing/coordinating training events (send email reminders, create sign-in sheet, ensure room is set up appropriately), preparing badges for facilitators, and ordering and coordinating catering.
  • Assign training and track training completions for new hires in HRIS and Mineral.
  • Coordinate with the Executive Team to update the ROAD slides.
  • Assist in maintaining the digital HR files.
  • Strong written and interpersonal communication skills.
  • Knowledge of the team function within the organization.
  • Ability to work with executives, managers, and all employees to address HR issues.
  • Ability to manage multiple projects simultaneously.
  • Ability to interface with all levels of the organization.

Education, experience, certification/training:

  • Minimum of one to four years’ experience in related field preferred.
  • Highly skilled in Microsoft Office products (Word, Excel, PowerPoint) and SharePoint.
  • Ability to learn new software applications and technologies quickly is required.

Physical Requirements:

  • Sedentary work: Assignment involves sitting at workstation (desk) most of the time (up to 8 hours) with only occasional walking and/or standing.
  • Keyboarding: Primarily using fingers for typing.
  • Talking: Expressing or communicating verbally through use of spoken words (accurately conveying detailed or important spoken instructions to others).
  • Hearing: Ability to receive detailed information through oral communication and to make discriminations in sound.
  • Visual: Through close visual acuity, required to perform activities such as: preparing and analyzing data and figures; transcribing; viewing computer terminal; extensive reading (with or without correction).
  • Environment: Because the requirements of this position require frequent, often informal collaboration with other Railinc colleagues and external stakeholders, and to maximize the development of the skills and responsibilities essential for this position, Railinc expects that the work required of this role be performed predominantly in the office consistent with Railinc’s in-the-office work policies, as communicated by Human Resources and/or Senior Management. Any individual variations on in-the-office work policies will be reviewed by Human Resources on a case-by-case basis. As work is performed predominantly within an office setting, there is no substantial exposure to adverse environmental conditions (i.e., extreme heat, cold, noise, etc.).
