WHO WE ARE LOOKING FOR

Flow Therapy is seeking a proactive and highly organized Executive Assistant to support our CEO and executive leadership team. This individual will be a trusted partner to the CEO, helping translate ideas into action, ensuring follow-through, and keeping priorities moving forward. The right candidate thrives in a fast-paced, evolving environment, demonstrates sound judgment, and brings a balance of administrative excellence and project coordination skills.

WHAT YOU’LL DO

Executive Support

  • Manage the CEO’s calendar with precision, prioritizing engagements and ensuring alignment with strategic goals.
  • Draft, review, and manage communications to ensure timely and professional responses.
  • Prepare agendas, briefing materials, and follow-up documentation for meetings with executives, board members, and external partners.
  • Coordinate travel arrangements, events, and logistics to maximize the CEO’s time.

Project & Operations Coordination

  • Translate CEO initiatives into clear project plans with actionable tasks, deadlines, and reporting.
  • Track progress of company-wide priorities and provide timely updates to the CEO and executive team.
  • Partner with department leaders to ensure cross-functional follow-through on key initiatives.
  • Support office and corporate operations by managing supplies, onboarding kits, tech inventory, and vendor coordination.

Liaison & Culture Steward

  • Serve as a connector between the CEO, executive team, and team members ensuring communication is clear and consistent.
  • Anticipate needs and proactively identify gaps, opportunities, or risks that impact executive and organizational success.
  • Help create a positive, efficient, and values-driven environment that reflects Flow Therapy’s mission and growth goals.

KNOWLEDGE, SKILLS & ABILITIES

  • Highly organized and systematic, with a natural ability to bring structure to complex or evolving situations.
  • Strong interpersonal and communication skills; able to build trust and foster collaboration at all levels.
  • Adaptable and steady under pressure, with the ability to navigate shifting priorities and timelines.
  • Critical thinker who can take broad concepts and translate them into actionable steps with follow-through.
  • Tech-savvy with proficiency in Microsoft Office Suite, scheduling/communications platforms, and project management tools.
  • A self-starter with impeccable discretion, judgment, and confidentiality.

EDUCATION & EXPERIENCE

  • 3+ years of experience in executive support, project coordination, or office management required.
  • Bachelor's degree preferred; equivalent work experience considered.
  • Healthcare or high-growth company experience a plus.
