Overview

Office Administrator position with Customers Bank, supporting the Commercial Real Estate Team in Melville, NY. Responsible for day-to-day office operations, administrative support to CRE lending and closing teams, and coordination of meetings, schedules, supplies, and events. What You’ll Do

Administrative Tasks: Welcome visitors, schedule conference rooms, manage reservations and catering, handle mail, answer phones, and manage correspondence and invoicing. Office Operations: Maintain and troubleshoot basic office equipment, ensure the office is organized and functional, coordinate activities and events, assist with onboarding, implement and enforce office policies, and coordinate with landlord, service providers, and vendors. Client and Team Support: Data entry support, client/prospect mailings, oversee day-to-day CRE team activities, contribute to department projects, facilitate internal/external communication, and monthly/quarterly/yearly reporting. Marketing and Events: Prepare for and follow up on meetings, coordinate appointments/calendars/travel/reservations, assist with department marketing initiatives and event planning. Backup CRE Closer Responsibilities: Serve as Backup Closer to support CRE Closing Team during peak periods or staff absence to maintain deal flow and client satisfaction. Closing Support: Assist CRE Closing Officers with loan closing documentation, coordinate with attorneys/title companies/borrowers/internal stakeholders, track due diligence items, facilitate execution/notarization of closing documents, maintain closing checklists, and prepare post-closing packages. Compliance and Accuracy: Review loan documents for accuracy, ensure adherence to bank compliance and regulatory requirements, and maintain records for internal audit/quality control. Communication and Coordination: Liaise between CRE loan officers, closers, clients, and external counsel; manage pipeline closings and escalate items as needed; support closing-related updates to internal systems. What Do You Need?

Minimum of five years of customer service/office management experience, preferably in a bank or financial institution, with affluent/premium customers. Knowledge of Commercial Real Estate or lending is a plus. Ability to prioritize tasks, manage time, and stay organized. Excellent verbal and written communication skills. Ability to identify and resolve issues with minimal direction. Professional interaction with a wide range of clients. Accuracy and thoroughness in all tasks. Commitment to exceptional service for clients and colleagues. Technology Skills

Proficiency with Microsoft Office Suite and the ability to learn with Customers Bank applications. Diversity and Accessibility
