Role Overview

As our

CRM & AI Automation Technologist , you will lead the development, deployment, and optimization of integrated systems that connect digital ad campaigns, CRM platforms, AI agents, and patient tracking tools. You will architect automation that moves a patient from an ad through AI-powered qualification, into HighLevel, and finally into ClickUp for surgical coordination—minimizing human touchpoints. This is a high-impact, cross-functional role working with marketing strategists, AI developers, and healthcare operators to deliver results. Key Responsibilities

CRM Architecture & Workflow Automation: design, build, and maintain automated logic-based workflows in Zapier, HighLevel, and ClickUp tailored to the patient journey. Develop conditional logic and triggers that move leads from marketing campaigns to qualification and into patient tracking pipelines. Ensure campaigns funnel leads into HighLevel in real-time (form fills, calls, SMS) with accurate tracking and tagging. System Integrations & API Work: integrate Meta and Google Ad campaigns into HighLevel using native or custom connectors; sync data across platforms (e.g., HighLevel → ClickUp, Meta → GHL, GHL → Google Sheets). Maintain data accuracy and reliability across systems to support patient workflows. AI Agent Development & Deployment: leverage voice AI and SMS tools (e.g., ElevenLabs, ChatGPT, Synthflow) with HighLevel workflows; deploy agents, monitor performance, and iterate to improve conversions. Reporting & Analytics: build dashboards in Looker Studio integrating data from ads, CRM, and performance metrics; track ROI, conversions, patient flow, and KPIs. Client Enablement & Internal Collaboration: work with account managers, marketers, and developers; provide documentation, training, and troubleshooting; propose process improvements to scale tech infra. Qualifications & Experience

Must-Have Skills 3+ years building and maintaining CRM and marketing automation systems (preferably HighLevel, ClickUp, HubSpot, Salesforce, or similar). Proficient with Zapier or similar integration platforms. Experience building AI workflows using tools such as Synthflow, Twilio, or OpenAI-powered agents. Deep understanding of digital marketing funnels and healthcare lead conversion flows. Strong API integration experience between ad platforms, CRMs, and data visualization tools. Experience building real-time dashboards with Looker Studio, Google Sheets, or similar. Preferred Skills Familiarity with HIPAA compliance and healthcare marketing regulations. Background with call tracking systems like CallRail or Liine. Basic scripting or coding knowledge (e.g., JavaScript, Python, or Webhooks). Experience in healthcare tech, telehealth, or patient experience systems. Soft Skills Highly organized and self-directed; problem-solver with an automation-first mindset; strong communicator able to translate business goals into system logic; passion for improving healthcare access and experience through technology.
