Job Title: Assistant Manager Employment Status: Full-Time; Non-exempt Pay Range: $25.00 - $28.00/hour Location: 216 Eddy, San Francisco, CA 94102 Schedule: Monday - Friday, 9:00 am - 5:30 pm Responsibilities
In the absence of the General Manager, supervise, administer and manage tasks as assigned. Aid or conduct new resident lease orientations, certifications, and responsibilities. Conduct background checks on applicants and make recommendations for acceptance or rejection for final approval by the General Manager and Compliance. Interview prospective residents, show vacant units, and explain how to use the equipment in the dwelling. Manage, interview, and prepare the initial and recertification process of tenants\' income and family composition. Keep and monitor lease and accounting records, accounts receivable/delinquency records, and eviction notices. Coordinate maintenance work orders and inspect apartments and grounds for maintenance and repair needs. Attend and participate in professional activities, meetings, regulatory agency meetings or inspections, as needed. Submit required internal and external reports. Collaborate with internal and external partners to ensure the property\'s success. Manage the day-to-day administration of the property office, ensuring the office is clean, professional and well-organized; answer telephones courteously; sort, distribute, and answer mail; manage inventory and supplies; maintain files and rental documents; schedule maintenance repairs and file work orders; maintain a professional appearance; be available for emergencies as needed; assist the General Manager with special projects and administrative tasks. Collect rent and account for monies collected, including scanning checks, ensuring prompt collection of subsidies and tenant receivables, submitting vacancy loss reimbursements, entering payments into Yardi, and managing evictions and stipulations in accordance with court orders. Prepare and complete resident initial and recertifications, including notifying tenants, collecting documentation, verifying third-party information, completing Tenant Income Certification, reviewing compliance with LIHTC and program rules, and maintaining records for audits. Manage tenant relations by responding to requests, addressing complaints, building positive relationships, resolving conflicts, and enforcing property rules and regulations. Directly supervise desk clerks, including recruiting and hiring, approving timesheets, and preparing performance evaluations; monitor building expenditures and handle payables with GM approval. Qualifications
Required Skills: experience serving diverse, low-income, and multi-ethnic communities with respect and empathy; self-motivated problem solver; strong verbal and written communication; ability to work under pressure calmly and professionally. Minimum Qualifications: proficiency in Microsoft Office (Word, Excel, Outlook); familiarity with subsidized housing program management; 6 months to 1 year experience with income certifications. Preferred Qualifications: associate degree or equivalent, supervisory experience, HUD/LIHTC designations (or equivalents), knowledge of Section 8 practices, experience in affordable housing or nonprofit property management, knowledge of Yardi or similar property management software, budget and facilities knowledge, high-rise safety familiarity, TRACS knowledge, and language skills beyond English.
