Associate, Assistant Property Manager role at Bulfinch. The Associate, Assistant Property Manager (APM) provides property management support, handles tenant inquiries, supports project coordination for tenant events, assists the Property Manager with a variety of tasks, and delivers superior customer service to clients (owners, lenders, and tenants). The APM is the face of Bulfinch to tenants and contributes to a seamless, engaging, and compelling customer experience that increases tenant retention and drives property and portfolio value. Responsibilities
Tenant Relations & Leasing Support Manage and support the tenants in the portfolio by proactively anticipating needs, expectations, and obligations according to the tenant lease terms and Bulfinch standards of excellence. Work cross-functionally with all Bulfinch teams to support tenants, including prioritizing and responding to tenant work order requests, complaints, or concerns, and coordinating timely responses with Property Management site teams. Support and coordinate with the Managing Director of Leasing to stay abreast of tenant space needs, updates or changes to the space, and potential early termination notifications. Tenant Engagement and Experience Engage tenants and maintain positive relationships through activities such as creating welcome packages, managing communications channels, quarterly tenant newsletters, and sharing community event information. Coordinate programming with organizations and vendors (e.g., Building Impact, bike/share programs, book drives, outdoor community spaces). Monitor and track major tenant milestones to engage with tenants to drive retention. Budget, Contract, & Vendor Management Assist with financial tasks including budgeting preparation, invoice review and approval, accruals, reforecasting, reporting variances, and accurate tenant billing. Produce, modify, and distribute contracts, spreadsheets, manuals, information packages, vendor and emergency contact lists, and other deliverables. Provide project and property management support by scheduling contractor work, communicating property and company protocols to vendors, maintaining vendor COIs, and drafting and monitoring vendor contracts.
