Overview Administrative Assistant III, Pathology at Beth Israel Deaconess Medical Center (part of Beth Israel Lahey Health). This is a fully onsite position in Boston, MA, Monday through Friday, first shift, with flexibility on start time. The Administrative Assistant III will liaise with external entities (patients, families, physicians, couriers, institutions) who contact the pathology department with requests.

Responsibilities

Front desk coverage, phone support, greeting and directing patients, families, visitors, and staff; respond to requests in a timely and accurate manner within knowledge and authority.

Type correspondence, forms, reports, manuscripts, or other materials; prepare documents with complex formatting; proofread and edit for grammar, punctuation, and spelling.

Schedule appointments and meetings; maintain calendars; organize conference calls and meetings; reserve locations and equipment; prepare agendas and travel arrangements as needed.

Organize and schedule department-sponsored events; coordinate arrangements including location, registration, fees, agenda, materials, and equipment.

Maintain departmental files, records, and databases; enter data into databases/spreadsheets; generate reports and distribute information as needed; maintain reference library.

Support pathologists with calendar scheduling and other tasks; order supplies; contribute to specialized projects as assigned by the department.

Other duties as assigned by the department.

Required Qualifications

High School diploma or GED required; Associate's degree preferred.

3-5 years of related work experience required.

Advanced Microsoft Office skills (Outlook, Word, Excel, PowerPoint, Access) or equivalent web-based applications; ability to produce complex documents, perform analysis, and maintain databases.

Sedentary work, with occasional lifting up to 10 pounds; mostly sitting with walking/standing required occasionally.
