Overview

Patient Access Representative (Part-time | 12 hours per week) at Children\'s National Hospital. Reports to the Patient Access Supervisor or Manager. Provides patient services and administrative support in ancillary operations. Interacts with parents, patients, physicians, and staff under moderate supervision in a courteous manner. May float to ancillary patient access areas as needed (ED, RAD, LAB, AMSAC, etc.). Next step in career ladder is Senior Patient Access Rep. Responsibilities

Demonstrate accuracy of scheduling patients using the department\'s scheduling system; verify charge codes against diagnostic codes; enter information into billing/registration systems. Complete computer-aided online registration with parent/guardian via telephone or in person in a professional and courteous manner. Collect accurate demographic and insurance information; update systems per department standards; complete bedside registration for ED patients. Reschedule appointments for no-shows or cancellations; schedule follow-up appointments at checkout if applicable. Greet patients and parents; enter patient in the appropriate system according to department policy. Obtain required consents and distribute compliance materials (e.g., HIPAA Privacy Notice, Patient Rights). Collect insurance cards and photo IDs for the medical record (copy or scan). Ensure copies are sent to the applicable insurance company and CNMC HIM department. Complete all documentation per department policy. Respond to patient portal work lists (appointment requests, faxes, emails, etc.). Information Verification

Verify insurance eligibility using the applicable eligibility system; adhere to managed care carve-outs (lab and radiology). Inform leadership of authorization issues at check-in; coordinate with providers or schedulers to address issues timely without delaying care. Notify parents about needed completed insurance referral forms or pre-authorizations prior to scheduled/unscheduled appointments. Discuss co-payments, deposits, payment in full, or past-due balances with parents professionally and courteously. Counsel parents or refer to Financial Information Center for payment plans or methods. Verify complete insurance information prior to procedures and collect/pre-authorize/referral information; aim to obtain authorizations 5 days in advance of service. Utilize all systems where patient information may be stored (EPRS, SCI, Cerner, IDX, McKesson, etc.) to verify data consistency. Cash Collection

Collect and record co-payments, deposits, and payments in full; provide receipts and help department meet the target for collections. Maintain cash controls and adhere to departmental cash collection requirements. Billing Preparation

Ensure all applicable orders/scripts/referrals are obtained for ancillary services prior to service. Clear walk-ins and ensure linkage of scheduled/unscheduled appointments to the scheduling system. Perform daily real-time quality reviews of registration processing. Office Support

Answer phones and address caller needs; manage voicemail within the same business day; follow ACD policies if applicable. Distribute mail; handle returned mail as needed. Check work email regularly and respond within 24 hours (or next business day); maintain office files and supplies; keep reception area and workspace clean. Provide other support as needed.
