Senior Administrative Assistant . This is a fantastic opportunity to join a stable, collaborative, and professional team where you'll play a critical role in supporting executives and ensuring the smooth operation of daily business functions. Job Summary: The Senior Administrative Assistant will provide high-level administrative and organizational support to executives and senior leadership. This position requires exceptional attention to detail, strong communication skills, and the ability to manage multiple priorities in a dynamic environment. The ideal candidate will be proactive, resourceful, and able to maintain the highest level of professionalism and confidentiality. Key Responsibilities:
Manage complex calendars, schedule meetings, and coordinate travel arrangements for executives and leadership staff. Draft, edit, and prepare correspondence, reports, and presentations. Serve as a key liaison between executives, internal teams, and external partners. Handle confidential information with discretion and professionalism. Coordinate and organize departmental events, meetings, and projects. Prepare and reconcile expense reports, assist with invoices, and support budget tracking. Maintain organized filing systems, databases, and office records. Anticipate executive needs and proactively provide administrative solutions. Mentor junior administrative staff, supporting efficiency and best practices.
Qualifications:
5+ years of administrative support experience, with at least 2 years supporting executives or senior management. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook); experience with collaboration or project management tools a plus. Excellent organizational, time-management, and multitasking abilities. Strong written and verbal communication skills. Professional presence with the ability to interact confidently at all levels of the organization. Demonstrated discretion in handling sensitive and confidential information.
Preferred Qualifications:
Prior experience supporting multiple executives in a corporate or professional services environment. Background working in a fast-paced, client-facing industry. Determining compensation for this role (and others) at Vaco/Highspring depends upon a wide array of factors including but not limited to the individual's skill sets, experience and training, licensure and certifications, office location and other geographic considerations, as well as other business and organizational needs. With that said, as required by local law in geographies that require salary range disclosure, Vaco/Highspring notes the salary range for the role is noted in this job posting. The individual may also be eligible for discretionary bonuses, and can participate in medical, dental, and vision benefits as well as the company's 401(k) retirement plan.
