We are seeking a highly experienced, dedicated, and empathetic Front Desk Administrative Assistant to be the welcoming face and organizational backbone of our practice.
Position Requirements
Experience: Minimum of 3 years of continuous administrative or front desk experience, preferably within a medical, chiropractic, or health/wellness office.
Education: High school diploma or equivalent required.
Availability: Must be able to work within our operating hours (typically Monday-Thursday 8 am-12 pm & 2 pm-6 pm, and Friday 8 am-12 pm).
Key Responsibilities
The ideal candidate will manage all front-of-house operations, ensuring a seamless and positive experience for all patients, including walk-ins and same-day care appointments.
Patient Engagement: Warmly greet all patients and visitors, manage check-in/check-out procedures, and act as the primary liaison between the doctor, staff, and patients.
Scheduling & Coordination: Efficiently manage a high volume of calls, schedule new and existing patient appointments, and handle scheduling conflicts, including managing the daily flow of same-day and walk-in patients.
Administrative Processing: Accurately handle new patient registration, including providing and processing forms (cash patient, auto accident, etc.).
Financial & Billing: Collect patient payments (co-pays, self-pay, Affirm payments), process daily transactions, and accurately manage insurance verification and claims related to standard health, Vehicle Insurance, and Worker's Comp.
Office Management: Maintain a clean, organized, and professional reception area, manage office supplies, and prepare treatment rooms as needed.

Problem-Solving: Proactive and resourceful approach to resolving patient concerns or scheduling issues with minimal supervision.
