SUMMARY:

The Accounting Manager supports the Owner/VP by overseeing our day-to-day accounting operations and ensures the accuracy of our financial records. This role will supervise the Accounts Receivable (AR) and Accounts Payable (AP) Clerks, manage the month-end close process, maintain the chart of accounts, and support strategic initiatives such as our transition into Microsoft Dynamics 365 Business Central. The positon requires exceptional organizational skills, with strong technical accounting expertise, leadership skills, and the ability to provide financial insights to ownership.

SUPERVISORY RESPONSIBILITIES:

· AP & AR Clerks

DUTIES / RESPONSIBILITIES:

· Supervise and provide guidance to AR and AP Clerks, ensuring timely and accurate processing of transactions.

· Manages month-end and year-end processes, including account, bank, credit cards and balance sheet reconciliations, journal entries and reporting.

· Maintain and optimize the company’s chart of accounts to support businses needs and accurate reporting for all company departments and locations.

· Tracks and manages fixed assets, depreciation schedules, and asset records.

· Input and update inventory items in the system, maintain accurate costs records, and ensure proper valuation of inventory.

· Processes monthly sales tax report.

· Prepares cash flow reports, budgets and forecasts to support owners in decision-making.

· Collaborate with leadership to improve accounting processes, internal controls and financial transparency.

· Oversees the past due collection efforts with the AR Clerk.

· Ensures that team is collecting W9, tax exempt info, vendor and customer information packets and conducts sales tax calculations.

· Responsible for maintaining organized and accurate financial records, both financial and paper files.

· Assist with the implementation and transtion to Microsoft Dynamics 365 Business Central, ensuring smooth adoption of processes and controls.

· Support external audits, tax filings and compliance requirements.

· Performs other related duties as assigned.

Requirements:

REQUIRED SKILLS / ABILITIES:

· Knowledge of generally accepted accounting principles (GAAP) and financial data analysis.

· Ability to use QuickBooks Enterprise to record, store and analyze financial data.

· Ability to efficiently operate a 10-key calculator or equivalent and other related office equipment.

· High proficiency in Microsoft Office Suite, Quickbooks Enterprise or similar software.

· Knowledge of administrative and clerical procedures.

· Excellent written and oral communication skills.

· Basic understanding of bookkeeping practices and procedures.

· Excellent organizational skills and attention to detail.

· Ability to follow verbal and written instructions.

· Ability to establish priorities, take initiative, work independently and meet goals within a deadline.

· Dependability, thoroughness, accuracy and confidentiality are a must.

EDUCATION AND EXPERIENCE:

· Bachelor’s degree in Accounting, Finance, or related field (CPA or CMA preferred, but not required).

· 5+ years of progressive accounting experience, including general ledger and financial reporting.

· Prior experience supervising or mentoring accounting staff.

· Strong understanding of GAAP and internal control practices.

· Experience with ERP systems (Business Central preferred).

· Advanced Excel skills and ability to analyze financial data.

· Excellent communication and organizational skills.

· Ability to work independently, prioritize tasks, and meet deadlines.

· Strong knowledge of QuickBooks Enterprise is a plus.

PHYSICAL REQUIREMENTS:

· Prolonged periods sitting at a desk and working on a computer.

· Must be able to lift up to 15 pounds at a time.

WORK ENVIRONMENT:

· Full-time, onsite, Monday – Friday position. Standard hours are 8 am – 5 pm.
