Responsibilities

  • Support different locations (Hugo and Riverside/Minneapolis) in a departmental support capacity rather than supporting a single leader.
  • Timekeeping, departmental communications, calendar management, travel arrangements, expense processing, some budget work, meeting scheduling, taking meeting minutes, SharePoint site management, vendor coordination, and various project-based administrative tasks.
  • Project examples include compliance tracking, reporting cleanup, SharePoint build and management, and support for training-related functions.
  • Manage departmental calendars, schedule recurring meetings, send mass communications, process expenses, book travel, support training sessions, order supplies, escort vendors or catering deliveries (especially at Hugo), manage SharePoint sites, and assist with reporting and compliance tracking.
  • Respond to leader requests, coordinate logistics for training, and handle administrative needs for multiple leaders.
  • Support approximately nine leaders total, with each admin covering roughly four to five leaders. Key stakeholders include directors, managers, technical training managers, and other departmental leaders.
  • Occasional interaction with external vendors for ordering and invoicing purposes.

Qualifications

  • Proficiency in Microsoft Outlook and Microsoft Office Suite.
  • Experience with SAP, UKG, or Workday is a plus.
  • Strong calendar management and meeting scheduling skills.
  • Detail-oriented, self-starter, multitasking ability, able to meet deadlines, team player, able to work independently.
  • At least 7+ years of administrative experience, preferably at an Admin Level 3 or equivalent.
  • Prior experience supporting training-related functions.

Technical Certification Bonus: Up to $500 for an approved professional certification related to your current position. One Certification Bonus per calendar year. Eligible only for active employees; awarded 90 days after documentation of successful certification.
