Anticipated Contract Length: 6 months with potential for extension.
Craig Technologies is currently partnered on the Mobile Launcher 2 Project, which involves the design and construction of a launch platform for NASA. ML2 is located at Kennedy Space Center (KSC) and provides a launch platform for the Space Launch System (SLS).
Responsibilities
- Performs routine to complicated administrative duties of a responsible and confidential nature, under minimal supervision
- Handles routine and complicated items independently and anticipates problems and changing priorities
- Coordinate meetings; arrange conference rooms, equipment, and refreshments
- Organize material for meetings, presentations, and training sessions
- Organize presentations and training material on share drives while maintaining version control
- Maintain professional appearance of conference rooms; replenish supplies as needed
- Coordinate service awards luncheons and dinners
- Operate a variety of audiovisual equipment for programs, orientation, and conferences
- Maintain and update distribution lists for email
- Demonstrate basic to intermediate proficiency using Microsoft Excel, Word, Outlook, and PowerPoint; a skills assessment will be administered
- Work with confidential information; maintain discretion and diplomacy
- Maintain a file of important matters for executive attention upon return
- Anticipate changing priorities and problems; alert the manager as required
- Coordinate travel arrangements and itineraries; prepare detailed expense reports using Concur or other software
- Order catering for meetings and ensure conference room is ready for subsequent meetings
- Compose routine correspondence for signature; review outgoing correspondence for accuracy and proper format; may be required to send documents to the client’s document management system
- Assist in coordinating internal and/or external meetings; manage calendar using Outlook or other software
- Compile and distribute conference notes, minutes, and action items
- Assign document numbers, prepare documents, and transmit to Craig Technologies electronic document management system
- Assist with ML2 Construction Badging for visitors and new hires
- Assist with Area Access Requests
- Maintain departmental forms, databases, and tracking tools
- Order supplies for designated areas
- Provide timecard input or proxy for the project manager and/or team, as required
- Prepare and proofread standard forms, correspondence, and reports
- Assemble, copy, and distribute documentation packages
- Coordinate project seating requirements as needed
- Work closely with IS&T to ensure employees have access to computers and shared drives
Qualifications
- Education and Experience: Requires 2-4 years of related experience
- Knowledge, Skills, and Abilities: Must demonstrate a positive attitude and be able to work effectively with all levels of internal and external customers
- Extensive experience in all phases of administrative and secretarial functions
- Ability to coordinate manager-level meetings and adhere to project protocol
- Proactive, well-organized, able to use initiative, and follow through on assignments
- Able to multitask while maintaining accuracy
- Able to work in a fast-paced, high-energy environment
- Flexible and willing to take on unexpected assignments as needed
- Professional demeanor and ability to interact with all levels of the organization
- Ability to anticipate problems and changing priorities
- Willing to work overtime with little or no notice
- Experience arranging travel and processing expense reports electronically
- Ability to extract, compile, and analyze non-technical data for complex reports
