Overview
Receptionist role at Ed Miniat LLC. This is a temporary role until January 2026. At that time it will be reviewed. Nothing is guaranteed beyond January 2026.
Position Description
Performs duties to receive visitors by greeting and directing them; notifies company personnel of visitors' arrival; maintains security and telecommunications system.
Primary Responsibilities
- Welcome and register visitors
- Receive incoming calls and connect to proper parties
- Receive and relay messages
- Maintain telecommunication system by following manufacturer\'s instructions for house phone and console operation
- Maintain cleanliness and order of areas in and about the reception area, break room, conference room, and copy room
- Sort and distribute incoming mail into appropriate mailboxes
- Receive and alert proper parties of deliveries
- Ensure operation of office equipment by completing preventive maintenance requirements; calling for repairs; maintaining equipment inventories and evaluating new equipment and techniques
- Maintain supplies inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies and verifying receipt of supplies
- Enter Certificate of Insurance data into the master list
- Serve as time stamp entry backup for EM and SCP orders
- Match check copies and invoices for AR (accounts receivable)
- Assist with various office projects as needed
- Perform other duties as assigned

Requirements
- High school diploma or equivalent
- Bilingual, fluent in English and Spanish (preferred)
- Ability to type 35-40 wpm
- Able to speak, read and write English
- 1 - 3 years related experience
- Professional and pleasant phone manner
- Ability to communicate effectively
- Proficient in Microsoft Office
