This role is 100% remote and based anywhere in the United States, ideally in the East Coast Timezone (EDT).

Our client is an independent Registered Investment Adviser that provides customized investment management solutions and comprehensive wealth management plans. They are seeking a highly organized, tech-savvy Executive Assistant to provide comprehensive administrative support to the CEO. The ideal candidate will excel at calendar management, virtual communication, and leveraging technology to streamline operations.

Responsibilities

  • Manage and coordinate complex executive calendars, ensuring efficient scheduling across multiple time zones and priorities.
  • Proactively identify and resolve potential scheduling conflicts to maximize leaders’ productivity.
  • Organize and prepare materials for virtual meetings, including agendas, presentations, and follow-up documentation.
  • Maintain and update records, files, and contact databases using cloud-based systems.
  • Arrange travel logistics, including flights, accommodations, and itineraries.
  • Monitor incoming communications (emails, calls, messages) and respond or redirect appropriately.
  • Coordinate project deadlines and track action items with attention to detail.
  • Support special projects by researching, organizing data, and preparing summaries.
  • Use productivity tools (e.g., Microsoft 365, Zoom, CRM platforms) to manage tasks and facilitate collaboration.
  • Social Media & Digital Presence: Oversee and implement the CEO’s social media strategy; create and curate content to elevate brand visibility and engagement; analyze performance metrics and adjust strategy accordingly.

Qualifications

  • Proven experience as an Executive Assistant, Administrative Assistant, or comparable role supporting senior leaders.
  • Exceptional calendar management skills, including experience handling complex, high-volume scheduling needs.
  • Strong technical proficiency.
  • Excellent written and verbal communication skills.
  • Ability to work independently in a fully remote environment and manage multiple priorities.
  • Discretion with sensitive information and a commitment to confidentiality.
  • Prior remote work experience strongly preferred.
