Human Resources Administrator (I-9 Compliance Focus)

We are seeking a highly meticulous and experienced Human Resources Administrator to join our team, with a primary focus on leading our employee eligibility verification processes and Form I-9 compliance. What you’ll do
This role provides comprehensive administrative support to the HR department, ensuring strict compliance with all employment laws, with a critical focus on the diligent administration and auditing of all Form I-9 documentation.
I-9 Compliance and Administration (Primary Focus)
- Subject Matter Expert: Serve as the internal expert for Form I-9 administration, ensuring strict adherence to USCIS requirements and current regulations.
- Lifecycle Management: Manage the entire I-9 lifecycle, including the timely completion of Section 1 and Section 2, which involves the physical examination of identity and employment authorization documents.
- Auditing and Re-verification: Conduct regular, proactive audits of all I-9 forms, resolving discrepancies, and tracking/managing expiring work authorizations to initiate the re-verification process (Section 3) in a timely manner.
- Record Keeping: Oversee the secure storage and retention of all I-9 forms (electronic and physical) and prepare documentation and reports for potential internal or external government audits.
HR Administration & Employee Support
- Onboarding: Provide administrative support for the onboarding process, including preparing new hire paperwork, coordinating orientation, and processing background checks.
- Data Integrity: Maintain and update employee records in the HRIS (Human Resources Information System), ensuring data accuracy for all personnel changes (transfers, promotions, terminations).
- Benefits & Inquiries: Assist with employee benefits administration (enrollment documentation and communication) and respond to routine employee inquiries regarding HR policies and procedures.
- Reporting: Assist in generating standard and ad-hoc HR reports (e.g., headcount, compliance tracking).
What You’ll Bring (Qualifications)
- Experience: 2–4 years of experience in an HR administrative or coordinator role, with demonstrable experience managing I-9 compliance.
- I-9 Knowledge: In-depth knowledge of Form I-9 requirements and the associated federal regulations is mandatory.
- Technical Proficiency: Proficiency with HRIS and electronic I-9 verification systems (e.g., E-Verify). High proficiency with Microsoft Office Suite (especially Excel and Word).
- Core Competencies: Exceptional attention to detail, organizational and follow-through skills.
- Ability to handle sensitive and confidential information with utmost discretion and professionalism.
