Position Urgent care, sometimes known as walk-in care, fast care, or express care, is a convenient option for patients who require timely medical care, but the situation is not an emergency. We treat adults and children ages 3 and older and provide care for a wide range of illnesses and injuries. Because patients typically come to us when they aren't feeling their best, our staff strive to provide the compassion and emotional support our patients need.

Job Summary We are seeking a part-time, 25-hour Clinic/Practice Assistant to work 2, 12.5-hour shifts per week onsite at our Urgent Care center in Boston Common. The address is 137 Stuart Street, Boston, MA. The schedule requires 1 on-call shift per 4-week scheduling period, as well as overtime, weekend, and holiday coverage as needed. On-call shifts may require commuting to multiple locations including Brookline, Lynn, Natick, Newton, Westwood, and Woburn. There is free parking available at all locations. Clinic/Practice Assistants are the first point of contact for patients, providing administrative support, greeting, registration, and on-demand scheduling.

Responsibilities

Specializes in providing routine administrative and secretarial support as directed and under moderate supervision for an individual, group, or department.

Coordinate and schedule, manage supplies and equipment ordering, meeting minutes, correspondence.

Answer and transfer phone calls, prepare spreadsheets and presentations.

Manage schedules, coordinate travel, conference calls, payroll and transcription.

Prepare reports, meeting minutes and correspondence.

Create and edit documents, spreadsheets and presentations.

Coordinate meetings, travel, conference calls, and complete expense reports.

Remain knowledgeable of business unit policies; handle sensitive and confidential information.

Complete routine tasks under moderate supervision and perform other duties as assigned.

Comply with all policies and standards.

Qualifications Education

High School Diploma or Equivalent required or

Trade/Technical/Vocational Diploma related field of study preferred

Experience

2-3 years Administrative Assistant or Secretarial experience required

Knowledge, Skills & Abilities

Proficiency with office procedures and equipment (filing, copying, scanning, printing, faxing).

Proficiency in MS Office.

Ability to proofread and edit written documents.

Ability to use phone system; time management skills; strong verbal and written communication.

Strong interpersonal skills and ability to work with others.

Familiarity with medical terminology.
