Position Summary
The Dental Front Office Coordinator is the first and last point of contact for our patients. This role is responsible for delivering a seamless, friendly, and efficient patient experience from check-in to check-out, while also supporting scheduling, billing, insurance coordination, and administrative systems.
Key Responsibilities
Greet and check in patients with warmth and professionalism
Answer phones, manage voicemails, and route calls appropriately
Schedule appointments and manage provider calendars using Dentrix Ascend
Collect patient payments and provide accurate financial estimates
Verify insurance benefits and communicate clearly about out-of-network policies
Maintain accurate digital records and ensure all forms are up-to-date
Follow up on unscheduled treatment, cancellations, and recare
Support patient communication workflows: reminders, confirmations, follow-ups
Participate in daily huddles and team meetings
Cross-train and support other front office roles as needed
Qualifications
Minimum 2 years of front office experience in a dental practice required
Proficiency in Dentrix Ascend preferred
Strong verbal and written communication skills
Detail-oriented with excellent organizational skills
Professional, friendly, and calm under pressure
Knowledge of dental insurance, billing, and collections is a plus
Performance Expectations
Phones answered within 3 rings using the office scripting standards
Schedule maintained to 95%+ productivity with minimal last-minute cancellations
100% accuracy in patient check-in/check-out process
Financial arrangements and estimates presented clearly and documented
