Overview

This is a part-time position (17.5 hrs/week). The Administrative Assistant supports the Production Services Executive Team, coordinates the Production Services Master Plan, strategic planning, and project management initiatives to enhance campus Production operations. The role manages the daily operations of the Production Services Administration office, oversees compliance and policy efforts for all of Production Services, and mentors administrative professionals across the department. The manager also contributes to communications, event planning, and public awareness initiatives.

What You’ll Do In This Role

  • Project Manager for Executive Team and Production Services Master Plan: coordinate weekly Production Executive Team meetings, create agendas, track follow-ups, facilitate strategic planning discussions, and help update the annual strategic resource plan; manage the Production Services Master Plan and five-year strategy to increase production capacity.
  • Manage Production Administration Office Operations: hire and train Production Administration student employees; respond to email inquiries and phone calls; schedule student staff for coverage; mentor a customer service team; assist the managing director with correspondence and presentations; perform various office operational duties.
  • Policy & Compliance: act as the primary policy writer/analyst for Production Services; participate in BYU compliance activities; ensure policies and procedures comply with laws and campus policies; oversee policy approval processes and annual reviews; advise on policy enforcement.
  • Communications and Public Awareness: write and distribute the weekly Production Services employee newsletter; maintain the employee website with helpful information; manage public interactions and enhance organizational visibility.
  • Production Services’ Administrative Professional Lead: mentor and train new administrative professionals; coach staff on process improvement and navigating the University organization.
  • Other Responsibilities: plan and execute employee events; coordinate travel preauthorization and arrangements; conduct new employee orientations; handle additional duties as assigned.

Minimum Qualifications

  • Bachelor’s degree and three years’ experience as a staff assistant in an administrative office setting, or an equivalent combination of education and experience.

Preferred Qualifications

  • Bachelor’s degree with ten years of progressively responsible administrative office experience, or fifteen years of administrative office experience without a degree, or an equivalent combination of education and experience; project management experience is a plus.

Compensation

Pay Level: 49

Typical Starting Pay: $22.00 to $28.75/hr (Depending on Experience)
