We are seeking a proactive, hands on and detail-oriented Office Administrator to join our team at our Mesa, AZ Office. This ideal candidate will play a vital role in ensuring the smooth operation of the office, managing office administration, and providing support to directors. The successful office administrator is an energetic professional who doesn’t mind wearing multiple hats. Experienced in handling a wide range of administrative duties and executive support-related tasks and able to work independently. Well organized and flexible.
Responsibilities include but not limited to:
Key Responsibilities:
Office Management
- Oversee daily office operations, ensuring efficiency and organization.
- Maintain supplies, equipment, and workspace cleanliness.
- Support onboarding by greeting new hires, arranging access cards, and coordinating setup.
- Manage incoming mail and Facilities & Office Services documents.
- Participate in Health & Safety initiatives and provide admin backup when needed.
Office & Building Services
- Coordinate with building management for cleaning, maintenance, and repairs.
- Maintain reception operations and ensure the area is well-stocked.
- Manage facility, courier, and transport requests; schedule rooms and tech support.
Meet & Greet
- Serve as the first point of contact for visitors and callers, ensuring a professional and welcoming experience.
- Coordinate meeting schedules, room bookings, and refreshments.
Travel Arrangements
- Support staff and executives with travel planning, ensuring compliance with policies and cost efficiency.
Event Planning
- Organize company events, offsite meetings, and client engagements — handling logistics, bookings, and itineraries.
Communication & Coordination
- Collaborate across departments to ensure effective communication and issue resolution.
Health & Safety
- Promote workplace safety and promptly report concerns.
Additional Responsibilities
- Manage vendor contracts, renegotiate utilities, and identify cost-saving opportunities.
- Ensure compliance with office management laws and regulations.
Qualifications:
- Currently enrolled in or recently completed a college or university program in Business Administration, Office Management, Human Resources, or a related field.
- Strong organizational and multitasking skills, with attention to detail.
- Excellent communication and interpersonal abilities.
- Comfortable using common office software (Microsoft 365, SharePoint, Outlook, Teams).
- Demonstrated ability to work independently and as part of a team.
- Eagerness to learn and contribute to a fast-paced, sustainability-focused environment.
- Previous administrative, office, or customer service experience (co-op, summer job, or volunteer) considered an asset.
- Familiarity with health and safety principles or facility coordination is an asset, but not required.
Working Conditions:
- This position may require working in outdoor or indoor environments, with exposure to noise, dust, and varying weather conditions.
- The job may involve shift work, weekend shifts, or on-call availability depending on operational needs.
- Personal protective equipment (PPE) may be required at times.
