What You’ll Be Doing

  • Make sure the President is fully prepped for meetings, gathering documents, managing logistics, and anticipating needs.
  • Prioritize tasks and redirect matters to the right people, while keeping the President focused on what’s most important.
  • Keep the calendar airtight, juggling internal and external commitments while protecting valuable time.
  • Attend key meetings, take notes, and draft concise recaps.
  • Tackle special projects, presentations, reports, and creative deliverables.
  • Support other leaders when needed.
  • Schedule and coordinate board meetings.
  • Take minutes, track follow-ups, and keep communication clear.
  • Partner with the President and leadership team on high-level initiatives, including relationship management and strategic projects.
  • Help bring signature events to life, handling logistics, volunteer coordination, and on-site support.
  • Support staff appreciation initiatives and employee engagement activities.
  • Jump in on fun extras like team meals, internal celebrations, and culture-building events.
  • Track and manage credentialing and compliance documents.
  • Handle schedules, renewals, and fee payments to keep operations seamless.
  • Coordinate with partners and external organizations on donations, collaborations, and special projects.
  • Oversee office needs, from supply orders to event set-ups.
  • Ensure meeting spaces are always guest-ready (lights on, tech working, and materials printed).
  • Support staff, interns, and volunteers with scheduling and organization.

What We’re Looking For

  • At least 3 years of experience supporting senior executives (C-level or equivalent).
  • A natural communicator with excellent diction, writing skills, and presence.
  • Detail-obsessed, whether it’s double-checking schedules or making sure the projector works before a meeting.
  • A proactive problem-solver who thrives on being prepared.
