HR Department is seeking a professional, personable, and highly organized Receptionist to join its HR team. As the first point of contact for employees and visitors, this role requires exceptional communication skills, professionalism, and a welcoming demeanor.

The Receptionist will be responsible for managing front desk operations while also providing crucial support for HR functions, including onboarding and administrative tasks that contribute to the department's overall efficiency. As the first point of contact for our company, the Receptionist plays a vital role in creating a positive and welcoming experience for all visitors and callers. You'll be the friendly face and helpful voice that represents our organization. Beyond front-of-house duties, you'll also provide crucial administrative support to our Human Resources department, particularly in the onboarding process for new team members. This position requires excellent communication and organizational skills, a professional demeanor, and a proactive approach to ensuring smooth daily operations.

Essential Functions:

Front Desk Operations:

Arrive at the front desk at least 15 minutes prior to the start of the workday to power on computer and phone systems, ensuring readiness for the day's activities. Answer incoming telephone calls promptly and courteously, effectively screening and directing calls to the appropriate individuals or departments. Provide accurate and helpful information to callers, addressing inquiries and relaying messages with clarity and professionalism. Take detailed and accurate messages for management and other staff members, ensuring timely delivery. Greet all guests with a warm and genuine smile, creating a welcoming and positive first impression. Provide clear and concise directions to guests, guiding them to their intended destination within the office. Interact professionally and courteously with the public, clients, and vendors, representing the company in a positive light. Maintain an up-to-date awareness of staff movements, noting arrivals, departures, and any temporary absences. Receive, sort, and distribute incoming mail and deliveries (e.g., FedEx, UPS) to the designated mailroom. Maintain a meticulous log for certified mail and incoming packages, ensuring proper tracking and delivery. Manage the visitor log and issue visitor badges, maintaining security protocols. Efficiently schedule conference rooms using the electronic scheduling system, resolving any scheduling conflicts. Maintain a clean, organized, and presentable reception area, ensuring a professional and welcoming environment. Activate and deactivate parking and suite access badges for employees and authorized personnel. Submit timely service requests for any maintenance needs, including plumbing, HVAC, janitorial, and lighting issues. Proactively order parking access cards as needed to ensure sufficient supply. Maintain an accurate log of parking validations issued. Issue parking validations to clients and visitors as appropriate.

Compensation / Pay Rate (Up to): $17.00 - $17.00 Per Hour
