Job Summary
The role plays a critical part in helping the Athletics Director maximize impact by prioritizing time, providing strategic and analytical support, managing the lifecycle of assigned special projects, and helping the Athletics Leadership Team function effectively. The position requires close collaboration with all Athletics staff, strong organizational skills, strategic thinking, and a proactive, fast-paced approach that supports a dynamic higher education environment.
Responsibilities
Assists with strategic initiatives, monitors progress, and ensures cross-functional alignment
Functions as a trusted advisor to the Athletic Director
Manages athletics staff responsible for the Athletic Director's calendar, travel, and prioritizing scheduling
Leads internal communications for the Athletic Director
Champions a positive, high-performing departmental culture aligned with values and strategic goals
Joins leadership meetings to capture notes and follow up on key action items (or supervises others to do so)
Facilitates conversations with key stakeholders and external entities as needed
Supports the Athletic Director in advancing specific streams of work or projects
Tracks and gathers information, coordinates with involved parties, develops and monitors execution plans
Works with the Advancement Office to plan for and monitor relationship-building and stakeholder engagement
Provides strategic and analytical support by gathering information and completing analyses to propose solutions
Builds relationships across the University and external constituencies; serves as an information funnel and facilitator for the Athletic Director
Assists with alignment between the University's mission and day-to-day departmental operations
Stays in touch with internal and external stakeholders; may take meetings on behalf of the Athletic Director
Coordinates logistics for meetings and events, including agendas and follow-ups
Works to maximize the efficiency and effectiveness of the Athletic Director's office
May serve as the Sports Programs Administrator for assigned sport(s)
Required Qualifications
Educational Requirements
Bachelor's degree from an accredited institution of higher education in Business, Communications, or related field is required.
Required Experience
Seven (7) years of related work experience supporting leadership in managing complex projects and working collaboratively with multiple constituents.
Preferred Qualifications
Preferred Educational Qualifications
An advanced degree from an accredited institution of higher education in a related field
Preferred Experience
Experience in a higher education work environment

ABILITIES
Must be a collaborative problem-solver; able to work with varying personalities to reach effective solutions; able to understand and advance broad, strategic university goals; able to handle multiple tasks with deadlines.
SKILLS
Excellent interpersonal, initiative, teamwork, problem solving, independent judgment, organization, communication (verbal and written), time management, project management, and presentation skills. Proficient with Microsoft Office and other related computer applications. Strong attention to detail and follow-up skills. Superior customer service, phone, and email etiquette.
