Overview

We are seeking a proactive, results-oriented Senior Executive Assistant with a minimum of seven (7) years of experience providing high-level support to a Chief Executive Officer (CEO) or top-tier executives, preferably within the Payments, Fintech, or financial services industry. This individual will be crucial for maintaining the CEO's operational efficiency in a dynamic corporate environment. Given Miami's international business focus, absolute fluency in Spanish and English is mandatory, with a strong preference for Portuguese.

Key Responsibilities:

  • Administrative and Operational Management:
    • Calendar Management: Fully manage the CEO's calendar, scheduling complex meetings across multiple time zones and prioritizing commitments.
    • Travel Coordination: Organize all aspects of domestic and international business travel (flights, accommodations, ground transportation), including visa management and detailed itinerary preparation.
    • Executive Communication: Serve as the primary internal and external point of contact for the CEO. Draft, review, and edit corporate documents, presentations, and correspondence in both Spanish and English with complete accuracy.
    • Meeting Support: Prepare sensitive materials for Board of Directors and high-level executive meetings, and ensure all action items are properly followed up.

Mandatory Requirements:

  • Experience: Minimum of seven (7) years of uninterrupted experience as an Executive Assistant, providing direct support to a CEO, President, or C-Suite executive.
  • Bilingualism: Complete and proven fluency (oral and written) in both Spanish and English.
  • Technical Skills: Advanced proficiency in the Microsoft Office suite (Word, Excel, PowerPoint, Outlook) and experience with project management platforms (e.g., Asana, Trello).
  • Industry: Previous experience in the Payments, Fintech, banking, or regulated financial services industry.
  • Legality: Legal authorization to work in the United States.

Desirable Requirements (Preferred):

  • Languages: Functional fluency in Portuguese (written and spoken).
  • Education: Bachelor’s degree in Business Administration, Finance, or a related field.
