Job Summary

The Unit Secretary performs clerical duties necessary for the function of the Ambulatory Care Unit. Must be energetic and highly motivated to support the success of Saint Louis University Hospital.

Job Responsibilities and Requirements

Position Accountabilities and Performance Criteria (Essential Functions):

  • Review Operating Room Schedule and perform related tasks (e.g., schedule management, communications) 15%
  • Maintain ACU schedule books according to Operating Room schedules
  • Write out phone call sheets for the following day and update times as needed; notify patients of changes
  • Review OR schedule in the afternoon for day changes; prepare communication board for the following day
  • Enter patient charges and orders into the Meditech system; reconcile charges; maintain census data
  • Assemble patient packets; maintain chart preparation supplies; ensure records meet hospital standards
  • Act as receptionist for the nursing unit: greet patients/families/visitors, provide directions, notify nurses/OR of arrivals or cancellations
  • Practice safety and infection control; follow annual mandatory trainings; maintain confidentiality
  • Provide service excellence to patients by delivering timely, high-quality, courteous care
  • Demonstrate care, courtesy, effective communication, confidentiality, collaboration, and cost awareness; participate in quality improvement activities
  • Provide age-appropriate care for patients (Infant, Child, Adolescent, Adult, Geriatric) and complete related competencies
  • May be reassigned to specific secretarial duties as needed

Minimum Qualifications

  • Minimum Education: High school graduate or equivalent; post-high school vocational/training preferred
  • Minimum Experience: One year of secretarial experience preferred
  • Required Courses: None

Working Conditions and Physical Requirements

  • May be exposed to infections, bloodborne pathogens, and latex; occasional radiation hazards
  • Subject to interruptions; pressure from multiple demands; varied and unpredictable situations
  • Frequent standing/walking; occasional lifting and assisting with patient movement; manual dexterity required
  • Machines: Fax, Computer/printer, Phone system
