The position represents the Provosts office to internal and external constituents and coordinates the Provost’s schedule and briefings. It may include assisting with university communications and events, providing scheduling support for the Associate Provost, and supervising student employees. Responsibilities
Functions as the gatekeeper for the Provost, prioritizing issues and managing a complex calendar for the Provost and Associate Provost; ensure briefings and meeting preparation are complete.
Directs daily administrative operations of the executive office; supervise 2-4 student assistants, hire/train, and manage office logistics and confidentiality.
Responds to questions from faculty, staff, students, and the public; serves as liaison to internal and external offices; coordinates meetings and events; maintains and updates the Provost’s website and the office hours process.
Develops and implements systems for information, project, and communications management; coordinates extensive logistics for meetings, events, and campus visits.
Arranges travel for the Provost and Associate Provost; handles purchasing, travel reimbursements, and related paperwork.
Provides administrative support for Provost committees; manages calendars, agendas, minutes, and follow-ups; oversees 5-year review processes for Provost direct reports.
Maintains discretion, diplomacy, and professional interactions with internal and external stakeholders; briefs executives on priorities and deadlines.
Qualifications Educational Requirements
Bachelor's degree in related area and/or equivalent experience/training: Required
Advanced degree in related area: Preferred
Experience Requirements
6 - 10 years of related experience: Required
Demonstrated high-level executive, project management and analytical support within a complex organization; experience coordinating special events, appointments, meetings, briefings, and committees: Required
Minimum Requirements
Strong analytical/problem-solving skills
Political acumen and ability to navigate diverse perspectives within the organization and with external constituents
Effective verbal and written communication and influence across all levels
Small to mid-level project management skills; ability to multi-task with demanding timeframes
Discretion and confidentiality; advanced service orientation
Proficiency with Windows-based software (Word, Excel, PowerPoint, Access, Corp Time, Outlook)
Clear communication, issue identification, audience targeting, and timely delivery
Ability to establish cooperative relationships and work with diverse populations
Sound judgment, tact, and attention to detail; ability to work independently
Preferred Qualifications
Advanced knowledge of organizational processes, protocols, and procedures
Knowledge of FERPA and related regulations
Proficiency with commonly used organization-specific computer applications
Advising and counseling skills; understanding of university structure and key administrative players
