Empire Office is seeking a
Senior Account Coordinator
to join our team in the Atlanta Office. The role provides high‑level customer service in a timely manner, including quote and order entry, order status, and punch list follow-up. This position supports the sales staff and ensures we meet and exceed customer expectations. Key Responsibilities
Quote Creation: coordinate with design and vendors, verify pricing and specifications, complete header information (sales codes, taxes, ship-to), provide order instructions, color code floor plans, request COI, manage COM/COL on reserve, manage CODs, handle auto pricing, assist with labor quotes, obtain necessary approvals before quote-to-order conversion, request proforma invoices as needed, and ensure orders are released in the Hedberg system. Order Follow-up: confirm PO receipt with vendors, confirm vendor acknowledgments, manage deposit requests when applicable, resolve acknowledgment discrepancies, create and maintain order status reports. Pre-Installation: create operations requests (union/non-union; ST or OT) and assist in preparing installation packages. Install: maintain punch list documentation, order punch list items, create laser and RA tickets when PM is not involved, and complete installation. Post-Installation: invoice upon delivery and installation (verify with salesperson), manage day-two orders, maintain client contact to ensure satisfaction when applicable. Other: input and set up new customers and vendors, gather warranty information, generate product mix and delivery planning reports. Qualifications
High school diploma with 3–5 years of professional experience; bachelor’s degree or equivalent preferred. Steelcase and Hedberg experience required. Furniture or dealership experience is a plus but not required. Proficiency with Microsoft Office (Outlook, Excel, Word). Strong written and verbal communication, initiative, and proactive thinking. Ability to manage multiple tasks, stay organized, and meet deadlines. Ability to work well in a team environment. Location & Employment Type
