Overview
Clinic Manager, Administrative - PMOB Admin - Full Time 8 Hour Days (Exempt) (Non-Union) – Pasadena, CA. Manages all clinical operations under the direction of the Director and oversees clinical and administrative responsibilities of the office, including directing the work of clinical supervisors, administrative and medical staff of the department/clinic. Oversees operations of patient care programs, directs nursing practice, education, and services, and supervises the utilization of resources and implementation of new technological developments in patient care. Essential Duties
Serves as a personal contact for physicians, staff, and outside departments to address problems or concerns. Directs compliance with regulatory and accreditation standards and federal/state regulations regarding patient care; prepares for inspections. Investigates and resolves incidents, complaints, or suggestions from physicians, patients, visitors, and staff; documents and explains as needed; records all incidents/accidents. Oversees quality assurance activities for patient care within the unit. Develops and implements administrative policies and procedures; ensures adherence and provides interpretation as needed. Develops and implements security-related procedures (opening/closing routines, duress signals, key controls) and coordinates with University Public Safety; promotes security consciousness among staff. Maintains knowledge of the university’s crime prevention programs; disseminates security information to staff. Financial Management: monitors monthly financial results, performs variance analysis, reviews income statements, manages inventory, and ensures accurate and timely submission of patient/treatment charge information to the USC billing office. Risk Management: ensures compliance with policies/procedures under HIPAA, CMS, OSHA, CLIA, and other governing bodies; maintains quality assurance programs; leads clinic-based quality assurance and cost containment efforts. Facility/Equipment Management: ensures equipment and supplies support quality and safe patient care; plans corrective actions for safety or equipment issues; contributes to policy/procedure development for safe clinic operation. Patient Care Management: contributes to policies ensuring consistent, efficient, and safe treatment delivery; promotes urgency to achieve optimal clinical outcomes and regulatory compliance. Team Management: directly or indirectly supervises staff; recruits, hires, orients and trains; evaluates performance; counsels or terminates as needed; maintains staff records; supports staff development and positive culture; coordinates nursing, ancillary and clerical teams to deliver high-quality patient care; manages staff workload and scheduling; handles employee relations and payroll questions; enforces wage/hour laws and attendance policies. Marketing: coordinates with leadership and physician staff to maintain full schedules; supports marketing opportunities to educate and increase access to clinic; ensures call center communications are accurate for patient access. Performs other duties as assigned. Qualifications
Required: High School or equivalent; Bachelor's degree in a related field or 4 years of related equivalent experience in lieu of a bachelor’s degree. Required: 3 years of experience in managing clinical operations in a healthcare setting. Required: Excellent people management and motivational skills; ability to handle ambiguity; strong written and verbal communication; ability to bridge administrative and clinical needs; strong process-improvement skills; proficiency with Word, Microsoft Office, and departmental applications; strong analytical, problem-solving, planning and evaluation skills; organization/time management. Preferred: Master’s degree in a healthcare-related field (completed or in progress); 2 years of experience in an acute or ambulatory clinic as a clinic manager; experience managing a multi-specialty clinic; RN licensure (CA). Licenses/Certifications
Fire Life Safety Training (LA City) – required within 30 days of hire (if no card on hire). Basic Life Support (BLS) Healthcare Provider – American Heart Association. Location and Compensation
