Overview Located amid the lakes and mountains of central New Hampshire, Holderness School is a traditional co-ed independent secondary school, serving grades 9-12. Position Overview The Database and Gifts Administrator plays a vital role in advancing Holderness School’s mission by developing and maintaining data systems that support philanthropic initiatives and strengthen donor relationships. This position is responsible for all gift processing and the overall management of the Advancement Office database (Raiser’s Edge/NXT) and its related integrations, ensuring data integrity, optimizing operations, and providing strategic insights that drive fundraising success.

Key responsibilities include maintaining accurate constituent records, managing data imports and exports, preparing mailing lists and reports, supporting prospect research, and gift processing. By leveraging data-driven analysis, the Database and Gifts Administrator enhances the effectiveness of the Holderness Fund, capital campaigns, and alumni engagement efforts.

This is a year-round position. Ideally, this is an on-campus position, but we welcome candidates outside the local area interested in hybrid or fully remote work. Salary range is $55,000-$75,000 commensurate with experience.

Essential Duties and Responsibilities Specific responsibilities include, but are not limited to:

Strategic Data Management

Assess the office’s database capacity and develop a knowledge management plan.

Develop and execute a technical strategy for data management that supports the Advancement Office’s goals.

Evaluate current gift processing operations and develop processes to enhance the Office’s gift processing capabilities.

Database Administration

Establish and maintain processes to ensure overall data integrity.

Handle data imports, global changes, regular database audits, and data hygiene efforts.

Oversee daily, monthly, and annual maintenance of donor, prospect, and constituent records.

Develop queries, exports, lists, and reports to support Advancement staff and projects.

Implement and manage data structures, attributes, code tables, and business rules, and other functions within Raiser’s Edge/NXT.

Oversee integrations and modules within Raiser’s Edge/NXT, such as LiveAlumni and GiveCampus, ensuring the Advancement Office maximizes available features.

Stay current with Blackbaud’s Raiser’s Edge/NXT updates, new features, and best practices.

Assess and implement new CRM tools and technologies to improve database efficiency.

Train and support Advancement staff in all aspects of Raiser’s Edge/NXT use.

Serve as the primary database troubleshooting contact and ensure best practices are followed.

Data Integrity & Compliance

Monitor and maintain data accuracy, integrity, and security in Raiser’s Edge/NXT.

Research IRS and other government regulations related to donor data and recommend/implement compliance measures.

Document and maintain Advancement policies and procedures related to RE/RE NXT use and Advancement data storage and collection.

Gift Administration: Processing & Reporting

Process credit card and direct debit donations, and record all gifts and pledges in Raiser’s Edge with accuracy, and maintain supporting documentation. Deliver all monies received with required transmittal reports to the Business Office.

Generate acknowledgement letters and tax receipts within a 48-hour turnaround goal.

Maintain organized electronic and/or paper records of gift-related documentation.

Manage the recurring gift donation process, acknowledgements, and follow-up with donors.

Manage the matching gifts program, including tracking and follow-up with companies and donors.

Oversee the pledge gift reconciliation process, including reminders and invoicing as needed. Support Advancement team members by reconciling outstanding pledge reports with fundraising staff.

Track and process in-memory and in-honor gifts, ensuring proper donor recognition, and coordinate with the Director of Stewardship on condolence outreach.

Prepare and distribute daily gift reports to Advancement leadership.

Assist with preparing annual survey data (e.g., NAIS) when necessary.

Financial Reconciliation and Reporting

Work closely with the Business Office to reconcile all philanthropic gifts with the school’s general ledger.

In partnership with the Business Office, prepare reports for the annual audit and ensure the necessary documentation is available.

Qualifications

Bachelor’s degree preferred.

Minimum of 5 years of experience in database administration, preferably with Raiser's Edge NXT. Experience with other fundraising CRM systems may be considered.

Experience with Importomatic (Omatic) preferred.

Comfortable working with Microsoft Office and Google Workspace.

Familiarity with GiveCampus, iWave, and LiveAlumni is a plus.

Exceptional organization and time management skills with strong attention to detail.

Analytical mindset with the ability to interpret, manage, and report on complex data.

Ability to manage multiple projects and deadlines in a fast-paced environment.

Excellent interpersonal, verbal, and written communication skills.

Solid understanding of fundraising ethics, donor confidentiality, and industry best practices; general knowledge of accounting principles is a plus.

Working knowledge of fundraising programs and donor relations preferred.
