Position:

Human Resources Generalist

at HAP. This role provides high-level administrative support to the President & CEO and the Office of the President, under the direction of the CEO, ensuring the efficient operation of the executive office and representing the President/CEO in professional communications. Responsibilities

Provide comprehensive administrative support to the President/CEO and the President’s Office. Support Executive Team meetings by preparing agendas, taking notes and recording minutes, reminders, and related documents. Provide sophisticated calendar management for the President/CEO; prioritize inquiries, troubleshoot conflicts, and make judgments to ensure smooth day-to-day engagements. Act as liaison and coordinate logistics for Board of Directors meetings, advisory boards, donor events, and special functions; draft agendas, develop materials, record minutes, and ensure compliance with bylaws. Demonstrate strong cultural competence and community engagement within the Hmong community, respecting cultural nuances to build trust and collaboration. Draft, edit, and proofread correspondence, reports, memoranda, and presentations for the President’s Office; maintain accuracy and clarity in final documents. Prepare engaging and professional PowerPoint presentations. Oversee mail processing, filing, travel arrangements, expense processing, appointment scheduling, and office supplies. Conduct research, compile data, and prepare reports for internal and external stakeholders. Serve as the first point of contact for visitors and callers, ensuring professional representation of HAP. Support organizational projects and perform other duties as needed to align with the mission. Manage multiple priorities with initiative; maintain a positive, professional, service-oriented attitude and problem-solving skills. Maintain discretion, confidentiality, and professionalism; communicate effectively in writing and verbally; proficient with Microsoft Office and related software. Remain calm and adaptable in fast-paced or changing situations; build strong working relationships with executives, staff, and stakeholders. Understand issues facing refugees, low-income families, and vulnerable populations. Qualifications

Bachelor’s degree in English, Business Administration, or related field (strongly preferred). Minimum of five years of progressively responsible administrative support experience at the senior or executive level. Bilingual proficiency in Hmong strongly preferred. Regularly required to sit, stand, talk, hear, and use hands to operate office equipment; able to remain in a stationary position for extended periods. Must tolerate moderate noise levels; ability to move about the office to access files and equipment. Reliable transportation for occasional offsite meetings and events; ability to lift up to 20 pounds. Strong analytical, attention to detail, and ability to manage conflicting priorities and meet deadlines. Excellent writing, editing, proofreading, and presentation abilities; strong verbal and written communication skills, including proficiency in social media and professional correspondence. High degree of discretion, confidentiality, and professionalism. Demonstrated ability to build relationships with executives, staff, and stakeholders. Regular English reading and writing for professional communication; two-way accessibility to internal and external communications. Salary and Benefits
