Overview
Administrative Support Coordinator position at California State University, Monterey Bay (CSUMB). Part-time 24 hours per week (.60 FTE). Non-exempt (FLSA). Purpose Under the general supervision of the Chair of the School of Computing and Design, the Administrative Support Coordinator performs a full range of state and corporation clerical and administrative assignments in support of the School of Computing and Design. Essential Duties and Responsibilities
Provides administrative support to the Department chair and faculty. Prepares and processes work orders, pay requests, paperwork for external funds, reimbursements, etc. Manages travel arrangements and ensures paperwork is processed accurately and timely. Creates requisitions and tracks purchase orders. Assists with procurement card spending and budget tracking. Supports program needs, including scheduling assistance, generating permission numbers, administering student assistant hiring and timesheets, assisting with course evaluations, tracking internship placements, and other day-to-day operational needs. Coordinates logistics of events and activities (agendas, meetings, room reservations, catering, attendee invitations, parking permits). Oversees event setup/takedown and may take minutes when requested. Assists with outreach and recruitment efforts (newsletter, marketing materials, social media, communication with high school and community college counselors, and coordinating faculty visits to external entities). Maintains central filing system for confidential office files and student records; assembles information from files in response to requests. Receives inquiries by phone and email; handles complex requests and makes recommendations on day-to-day administrative operations. Other Functions
Promotes excellent internal and external customer service within the School and broader community. Attends workshops, conferences, and advisory meetings as needed. Performs other duties as assigned by the Chair and designated personnel. Knowledge, Skills, and Abilities
Knowledge:
university infrastructure, policies and procedures; English grammar, spelling, and punctuation; office systems and budget policies and procedures. Skills:
functional proficiency in technical aspects of work assignments; working knowledge of budget policies and procedures. Ability:
use a broad range of technology and systems; manage multiple priorities; apply policies and procedures with limited guidelines; perform business math; draft correspondence and reports; handle diverse interpersonal contacts, including sensitive matters. Qualifications
Minimum Qualifications:
Knowledge of standard office procedures and practices; strong written and spoken English; ability to learn new office technology; typically obtained via high school or equivalent plus several years of related office experience. Specialized Skills Required:
Experience tracking budgets and expenditures; excellent English writing; event planning; proficiency with word processing, spreadsheets, databases, email and social media software. Preferred Qualifications:
Bachelor’s degree in a relevant field; technical fluency with Photoshop/Illustrator; strong listening and communication skills; ability to maintain confidentiality and work collaboratively in a diverse environment; proficient in Microsoft Office, Google Workspace, Oracle-PeopleSoft/management systems, Hyperion, intranet, and browsers.
