The Galvgwodiyu Program Coordinator plans, develops, and coordinates all functions of Galvgwodiyu under the guidance of the Galvgwodiyu Event/Training Supervisor and Galvgwodiyu Program Manager. Provides direct support for current and future activities/operations of the program, including Galvgwodiyu and Analenisgi’s Domestic Violence Program. Serves as liaison among hospital departments, stakeholders, sponsors, grantors, and other program contacts, building relationships in line with Cherokee Indian Hospital guiding principles. Maintains positive relationships with contractors, vendors, program staff, volunteers, and CIHA staff, and collaborates with multiple departments to ensure optimal program coordination and performance. Generates reports to evaluate activity and available funds; manages fiscal reports, assists leadership in determining funds available, and directs management of contracts/subcontracts to ensure proper use of funds and resources. For grant-related activities, ensures timely reporting to grantor agencies and tracks deadlines and submission processes. Strong verbal, written, and interpersonal communication skills are essential. The ideal candidate will have extensive knowledge of program coordination, inventory, planning, event management, and accounting/budgetary practices. Job Description
Plan, develop, and coordinate functions of the assigned program; provide direct support for daily activities and operations. Embrace culturally appropriate storytelling and a participant-first service delivery model. Exercise self-care and emotional awareness to reflect CIHA guiding principles in interactions. Collaborate with Galvgwodiyu Event/Training Supervisor, Program Manager, and Behavioral Health Director to execute programming initiatives; serve as on-site logistics expert for events/trainings. Assist with participant recruitment for training based on interview processes and grant/organizational objectives; coordinate DV and other program activities. Create/update programming schedules and implementation checklists to maximize program effectiveness. Coordinate expense processing; ensure expenses align with grant, hospital, and program policies; obtain leadership approval; manage purchase orders; track inventory; monitor program expenditures; assist with budget reconciliation. Facilitate regular communication among stakeholders to inform them of program status, successes, and challenges. Educate staff and stakeholders about the program and become an expert in subject matter. Travel as required; assist with advertising and dissemination of program information with leadership and contractors. Coordinate training locations and details (meetings, lodging, transportation, meals, IT/AV, supplies, staffing). Prepare and update program materials, curriculum, and educational documents; support Learning Circle Leader and other training needs. Develop programming schedules, processes, data collection, and reporting structures; ensure standardized data collection and reporting. Develop, track, and manage programming budget; maintain databases with program data. Ensure timely reporting to leadership, contracting/grant departments, and grantor agencies; assist with grant proposals and interpretation of funding requirements as needed. Assist with proposals, contracts, sub-contracts, and budget development; monitor contract/grant compliance and expenditure categories. Monitor activities and outcomes to maintain fidelity of program services; build capacity for program services and deliver training as assigned. Collect client outcomes data, enter into required databases, and support budgeting and administrative policy adherence. Maintain compliant data, participate in internal/external reporting and audits, and maintain grantor-required files. Perform other duties as assigned. Education/Experience
Minimum: Bachelor's degree in a related field and two years of experience in behavioral health program administration or management of administrative activities for a program. Preferred: Five years’ experience in direct services related to trauma, abuse, substance use disorders, mental health, or similar challenges; program coordination, event planning, grant/contract experience; strong accounting and MS Office skills; ability to foster professional relationships. Must be willing to travel and to apply CIHA mission, vision, and values; leadership or supervisory experience preferred; prior Galvgwodiyu participation preferred. Job Knowledge
Knowledge of program management procedures, data management, and policy interpretation for grants and contracts. Familiarity with local, state, and federal grant guidelines (e.g., NC DHHS, SAMHSA). Ability to learn and manage treatment systems and data (EMR/RPMS) and to maintain records manually and electronically. Skills in grant writing, budget analysis, reporting, and financial reconciliation; strong interpersonal and organizational skills. Knowledge of behavioral health, medical, and psychosocial issues; ability to build community relationships and to communicate clearly in writing and speaking. Interest in Cherokee culture and sensitivity to population needs. Complexity of Duties
This position maximizes available resources to meet behavioral health needs of the community. Requires interpretation of policy/laws to support leadership decision-making; employs sound judgment and problem-solving with potential life-impact considerations. Role may be mentally and emotionally stressful and involves delivering trainings, travel, and occasional physical tasks. Required to lift up to 30 lbs and to stand/walk/stoop as described; adequate vision and hearing required. Position requires: stand (under 1/3 time); walk (under 1/3 time); sit (to 2/3 time); talk or hear (over 2/3 time). Weight lifted: up to 30 lbs. Special vision: Close vision (20 inches or less). Environment
Primarily in hospital/clinical settings; may work at other offices. Moderate exposure risks and adherence to OSHA guidelines for sterile conditions. Some travel and occasional evening hours for events/trainings. Extent and Scope of Supervision
General supervision with responsibility for costs, methods, and personnel. Not a supervisor by title, but may direct one or two others on specific projects. Supervision Received
