The Executive Assistant provides high-level administrative support to the Head of Business Development and the team, including planning, coordinating, and hosting advisor diligence visits. This role requires professionalism, discretion, and the ability to manage multiple priorities in a fast-paced environment. Responsibilities

Recruiting Coordination: Coordinate all aspects of advisor diligence visits, including travel, lodging, and on-site logistics; work directly with prospective advisors to ensure seamless travel arrangements and a first-class visit experience; create detailed agendas aligned with executive calendars and business priorities; serve as a professional, discreet point of contact for prospective advisors and executives; host advisors during visits and anticipate needs to ensure a polished, first-class experience. Administrative Duties: Distribute company-wide communications and assist in scheduling conference meetings; plan catering and support events for staff needs; utilize work processing systems, database platforms, and presentation tools to gather information; create materials for executive-level meetings and conferences; prioritize tasks and maintain structure in a fast-paced environment; implement and develop new procedures. Travel and Expense Management: Manage the EVP’s dynamic calendar; coordinate and book travel for the EVP and high-volume travel for prospective recruits; process and reconcile the EVP’s corporate AMEX expenses weekly, including recruitment-related costs; partner with Accounts Payable to research budget variances and provide accurate reporting. Team Collaboration & Addition Duties: Provide coverage for the Receptionist (approximately 2–3 times a month) and support other EAs for company-wide meetings; assist with additional administrative tasks and special projects as needed. Knowledge, Skills, and Abilities

Strong organizational and communication skills, both verbal and written. Ability to maintain confidentiality and exercise discretion. Proficiency in Microsoft Office Suite (Outlook, Excel, Word, PowerPoint). Professional phone and interpersonal skills. Attention to detail, teamwork, professionalism, and accountability. Flexibility to work overtime as necessary. Prior Executive Assistant experience preferred. Education and Experience

High School diploma required; College degree preferred. Financial industry experience preferred. Minimum of 2 years of professional work experience required. Certifications, Licenses, Registration
