Position
Position Summary
The Executive Assistant provides administrative support to the Chief Operating Officer (COO) and President/Chief Executive Officer (CEO). This role requires exceptional communication skills, attention to detail, and the ability to manage complex schedules and confidential information. The Executive Assistant serves as a key liaison between executive leadership and internal/external stakeholders, ensuring seamless coordination and execution of executive-level priorities.
Job Responsibilities
Provide high-level administrative support to the COO and President/CEO, including calendar management, travel arrangements, meeting coordination, and expense reporting.
Prepare and edit correspondence, presentations, and reports with a high degree of accuracy and professionalism.
Coordinate logistics for executive meetings, events, and travel.
Serve as a gatekeeper and point of contact.
Maintain confidentiality of sensitive information and exercise discretion in all interactions.
Assist with special projects and strategic initiatives as directed by executive leadership.
Manage priorities and deadlines in a fast-paced, dynamic environment.
Build strong relationships across departments to facilitate effective communication and collaboration.
Responsible for the Company's Security and Safety Management System (SMS) and associated Safety Risk Management and Safety Assurance outputs.
Performs other duties as assigned.
Position Specifics
Required Qualifications
High school diploma or equivalent
Minimum of 5 years of experience supporting senior executives, preferably in aviation or a corporate environment
Exceptional organizational and time-management skills
Strong written and verbal communication abilities
Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint)
Ability to handle confidential information with integrity and professionalism
Flexible and adaptable to changing priorities and schedules
Ability to speak/read/write in English
Authorized to work in the U.S. (as required)
Preferred
Bachelor’s degree
Additional Information
Supervisory Responsibility: This is not a supervisory position
Delegation: In absence, responsibilities delegated to President/CEO and COO
Authorities: None
Work Environment: Professional office environment; standard office equipment
Physical Demands: Sedentary role with occasional lifting up to 25 lbs and stationary/standing requirements as described
Security Clearance: Requires fingerprint-based CHRC and pre-employment drug screen
