The Executive Assistant (EA) will serve as the rhythm keeper of the organization and act as the tactical right hand to the Founder & CEO. Job Summary
The
Executive Assistant (EA)
will serve as the rhythm keeper of the organization and act as the tactical right hand to the Founder & CEO. This role requires a highly organized, energetic, and reliable professional who thrives in a dynamic environment and exercises the utmost discretion. The EA will be a trusted partner to the CEO, supporting both internal and external priorities and ensuring smooth execution of day-to-day activities. Reporting directly to the CEO, this role is critical in driving organizational focus, removing bottlenecks, and helping the leadership team achieve strategic objectives.
Responsibilities
Manage and prioritize the CEO’s calendar, ensuring timely attendance at meetings, events, and commitments. Track, manage, and follow up on CEO’s tasks and to-dos to ensure timely completion. Support the executive team by preparing agendas, taking minutes in executive meetings, documenting processes, and ensuring follow-through on action items. Represent the CEO by attending internal meetings and events as needed, communicating key action steps and decisions back to the CEO and leadership team. Act as a gatekeeper for internal and external inquiries, routing and prioritizing communications appropriately. Prepare the CEO and/or executive team for meetings by gathering, developing, and updating agendas, presentations, and other materials to maximize return on time investment. Build and maintain trust-based relationships with both internal and external stakeholders. Perform all other duties as assigned to support the CEO and the organization.
Qualifications
Proven experience as an Executive Assistant, Chief of Staff, or in a similar senior support role. Exceptional organizational skills with the ability to prioritize competing demands and manage multiple tasks simultaneously. Strong communication and interpersonal skills, with the ability to interact confidently at all levels of the organization. Demonstrated ability to maintain strict confidentiality and discretion. Proactive, adaptable, and resourceful problem solver with high attention to detail. Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and other productivity tools.
