The Executive Assistant to the CFO provides high-level administrative and operational support to the Chief Financial Officer and the Business & Finance division. This role is critical in ensuring the smooth functioning of the CFO’s office, managing communications, coordinating complex schedules, supporting strategic initiatives, and serving as a liaison with internal and external stakeholders. Essential to this position is a proven ability to manage competing priorities and deadlines; in addition to establishing and maintaining administrative processes. The ideal candidate is proactive, detail-oriented, a critical thinker, and thrives in a mission-driven, collaborative academic environment. Discretion and sensitivity are an utmost priority for the role while functioning in a professional environment possessing excellent judgment.
Required Qualifications
A minimum of five years of experience supporting senior executives Preferred Qualifications

Exceptional organizational, communication, and interpersonal skills Advanced skills using Microsoft Office programs, particularly Word, Excel, Teams, PowerPoint, and Outlook Ability to work independently with minimal supervision Results-oriented Strong problem-solving skills and a proactive mindset Responsibilities
Manages the CFO and departmental calendars to prioritize scheduling and resolve scheduling conflicts Prepares responses, correspondence, meeting materials, and other forms of communications Greet guests and visitors and welcome meeting attendees to the CFO’s office Provides excellent customer service to internal and external constituents Remains knowledgeable of divisional policy, procedures, and practices to assist customers Handles confidential and sensitive information with discretion Assists the CFO in coordinating daily departmental activities and special events/activities Manages the divisional webpages (content on the internet and intranet) Supports the coordination of division-wide initiatives, projects, and events Tracks deadlines, deliverables, and follow-ups for strategic and operational priorities Reconciles, processes, reviews, maintains, and submits invoices, check requests, purchase orders, contracts, expense reports, and budget tracking Assists the CFO in supporting the Audit Committee, Financial Sustainability Board Committee meetings, and any other identified meetings/briefings by coordinating schedules, arranging meetings, preparing materials, reserving spaces, managing catering, and scribing minutes, where appropriate Performs standard office tasks such as promptly responding to emails, answering telephones, ordering supplies, faxing, copying, and scanning Maintains organized filing systems (digital and physical). Collects and opens divisional mail forwarding correspondence to appropriate staff Serves as the primary point of contact for the CFO’s office, ensuring timely and professional communication Responsible for preparing and disseminating divisional communications on behalf of the CFO Collaborates with other executive and administrative assistants on best practices Undertakes special assignments or projects on a wide variety of responsibilities assigned by the CFO Prepares presentations, graphs and/or other visuals as needed at the request of the CFO Coordinates and schedules all facility-related needs for the division Manages all business-related travel arrangements for the CFO Develops and implements a structured approach to the office workflow and communications Creates professional verbal or written correspondence with meticulous diction Projects a professional demeanor at all times in both appearance and conduct Provides other duties and responsibilities as assigned EEO Statement
