The Executive Assistant I provides high-level administrative support to the Chair of the Department of Emergency Medicine, serving as a trusted liaison between the Chair, faculty, staff, and campus leadership. This position requires exceptional professionalism, discretion, and organizational skill, as it supports complex departmental operations, manages sensitive information, and coordinates a wide range of projects and communications. Qualifications

Bachelor’s degree in Business Administration, Finance, or related field plus two (2) years of administrative support experience, OR High School Diploma/GED plus six (6) years of administrative support experience. Knowledge, Abilities, and Skills

Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint). Strong written and verbal communication skills. Ability to exercise sound judgment, maintain confidentiality, and work independently with minimal supervision. Excellent organizational and interpersonal skills, with the ability to manage multiple priorities. Preferred Qualifications

Experience with Workday and modern office management tools. Advanced skills using Box, Adobe Suite, RedCap database development/management, and SharePoint. Experience creating professional communications and managing departmental social media. Additional Information

Responsibilities Executive Support:

Provides high-level administrative assistance to the Department Chair; manages scheduling, travel, meetings, presentations, and confidential communications; ensures smooth coordination across faculty, staff, and leadership. Fiscal & Operations:

Processes and reconciles travel, manages purchasing and Workday transactions, maintains budget accuracy, assigns cost centers, serves as departmental timekeeper, and assists with applicant screenings. Administrator Support:

Supports the Department Administrator with operational, fiscal, and personnel tasks; prepares reports and tracks deliverables. Faculty & Resident Support:

Coordinates faculty calendars, travel, and e-fund expenditures; assists residents with account-related needs. Office & Facilities Management:

Oversees front-office functions including mail, phones, supply orders, visitor reception, and coordination with housekeeping. Other Duties:

Performs additional administrative responsibilities to support departmental operations and goals. Salary Information
