SVP-CMXO FUNCTION DESCRIPTION: The Facilities Operations District Coordinator responsibilities include day-to-day accountability, decision making, and oversight of the following Facilities Operations areas: Bellco property management, branch and corporate procurement, invoice review and payment processing, branch and corporate requisitions, Bellco vehicle fleet management, and facility related projects. Direct contact for property managers for each assigned district and responsible for ensuring rents and dues are paid in a timely manner. Position requires rotating after-hours and weekend on-call schedule to monitor security or facilities related issues. Travel throughout the state for branch inspections and vendor onsite visits. ORGANIZATIONAL RELATIONSHIPS: Reports to: Manager-Document and Facilities Operations. Contacts: Interacts with all departments and all locations within Bellco Credit Union as well as substantial contact with vendors and delivery personnel. QUALIFICATIONS: Education: High School Diploma or Equivalent Experience. Experience: 2-3 years’ experience related to process and control oversight, purchasing or supply services, vendor interaction and or oversight. Must have a valid Colorado Driver’s license and provide proof of insurance. Skills: Capacity to work effectively under pressure with competing priorities. Exceptional attention to detail and accuracy to accurately and efficiently enter, update, and interpret data for tracking and analysis purposes. Excellent interpersonal, written and verbal communication skills. Ability to facilitate and advance responsibilities, tasks, and functions independently of direct supervision. Ability to prioritize and expedite daily activities to ensure completion of required functions. Ability to successfully and professionally interact with all levels of staff within the credit union as well as various vendors and business partners while establishing productive working relationships. Strong knowledge and background with various computer applications including Microsoft Excel, Word, Outlook and Internet Explorer. ESSENTIAL FUNCTIONS: Demonstrates Bellco’s Act Nice Behaviors and Core Values in all interactions with members, prospective members, and personnel in other Bellco departments. Member Relationship Management: Provides valuable and enjoyable experience to both internal and external members during interactions. Consistently suggests ways to improve the member experience through improved processes and technology. Maintaining positive relationships with a wide range of vendors, suppliers, and contractors. Maintains vehicle fleet ensuring license plate renewal and scheduled maintenance is completed on time. Primary contact for new branch openings and decommissions with regard to Facility Operations. Cross-functional Collaboration: Coordinates efforts to address Bellco facility issues, needs, and concerns communicated via multiple channels such as Member Connect (ticket system), email, phone, and onsite visits for vendors. Responds to employee inquiries and complaints. Ensures timely follow-up and quality service delivery to employees. Follows up with employees to ensure satisfaction. Responsible for ensuring all property taxes, rents, association dues, supply invoices, utility invoices, and vendor invoices are reviewed thoroughly and coded correctly to be submitted for payment within established SLAs. Coordinates and travels to branch locations throughout the state to inspect property, speak to branch management, meet vendors and address all issues/needs. May also include travel if any issues arise during on-call time. Responsible for ensuring all required facility inspections and safety checks are completed within established SLAs. Required on-call rotation for urgent branch security and other facility related issues (including weekends and holidays). Determines which calls require specific onsite troubleshooting and ad-hoc assistance. Required to analyze and make decisions concerning branch facilities and security within the appropriate authority protocol. Supports security and facility soundness of the credit union. Responsible for preparing branch bags for delivery and emptying full bags, sorting the documents inside appropriately. Including picking up mail from the mailbox in the corporate office building and sorting. Procurement decisions regarding facility repairs and office supply purchases. Ensures fulfillment of routine office supply and facility service requests from branches and departments. Manages the work order process by generating and dispatching service request work orders to multiple subcontractors and vendors, communicating work orders to technicians on priority orders, and provides feedback to leadership regarding observations related to facilities, security and vendor concerns. Participates in the completion of Bellco projects as needed. Identifies opportunities for facilities operational cost savings. Ability to understand how decisions impact the goals, objectives, and costs of the overall business, not just the real estate costs and impacts. Think through the impacts of decisions to prevent unintended consequences. Assists with management and oversight for the Bellco ATM fleet. Monitors various software programs for timely response to alerts and alarms, including video surveillance system. Regular and punctual attendance. Other duties as assigned. WORKING CONDITIONS: Physical ability to lift up to 30 pounds. Physical ability to maintain continuous hours of standing and walking to various departments.
