Learn more about the UC Office of the President DEPARTMENT OVERVIEW The University of California Office of the President operates an in-house temporary program called
TOPS
(Temporary Office of the President Staffing), which seeks skilled analysts, administrative assistants, and customer service specialists. TOPS employees provide temporary assistance to UCOP departments to complete special projects or fill in for employees who are on vacation or leave. Hourly rates and duties vary dependent upon classification of positions. Assignments range in length from one day to several months. It is an excellent opportunity to gain valuable UC experience. POSITION SUMMARY This is a TEMPORARY position within our Temporary Office of the President Staffing (TOPS) program. KEY RESPONSIBILITIES Provides administrative support for Executive Director and other managers/team members with scheduling Prepares travel vouchers and reimbursements, etc. for Executive Director and other managers/team members Assist with budget preparation and financial reports Responsible for managing and directing to appropriate personnel inquiries received through office emails and/or phone lines Orders office and equipment and supply orders for the team MINIMUM QUALIFICATIONS Minimum of 5 years of applicable work experience. Interpersonal skills including verbal and written communication, active listening, critical thinking, persuasiveness, advising and cultural competency skills Knowledge of a variety of administrative operational activities such as event planning, risk management planning, website design, accounting and payroll, and contracts and grants regulations and guidelines Ability to use discretion and maintain confidentiality Strong skills in short-term planning, analysis, problem-solving, and customer service Thorough knowledge of University rules and regulations, processes, protocols and procedures for budget, accounting and fund management PREFERRED QUALIFICATIONS Familiarity with UCOP and relevant policies, procedures, and protocols EDUCATION Bachelor's degree in related area and/or equivalent experience/training SPECIAL CONDITIONS This position is eligible for a hybrid work arrangement. The person hired will be required to reside within California and will be required to report to work onsite at UC's Office of the President (UCOP) located in Oakland, CA. SALARY AND BENEFITS The University of California, Office of the President, is required to provide a reasonable estimate of the compensation range for this role. This range takes into account the wide range of factors that are considered in making compensation decisions including but not limited to experience, skills, knowledge, abilities, education, licensure and certifications, and other business and organizational needs It is not typical for an individual to be offered a salary at or near the top of the salary grade for a position.
