Position Summary
The Benefits Administrator is responsible for the accurate and timely administration of employee benefit programs and union dues across all regions. This role ensures compliance with collective bargaining agreements (CBAs), company policy, and applicable federal and state regulations. Acting as a primary point of contact for employees and union representatives, this position supports HR and Finance by maintaining accurate financial, benefit, and employee records. This is an on-site role reporting into our corporate office in Deerfield Beach, Florida. Job Duties and Responsibilities
Union Dues & Benefits Administration Process and reconcile all union dues payments, ensuring timeliness and accuracy. Administer and explain union-related employee benefits, including dependent eligibility, optional benefits, and enrollment timelines. Monitor and respond to benefit-related inquiries and Employee Action Forms (EAFs) via Prosegur's service systems. Partner with Payroll to resolve benefit and deduction discrepancies. Union Reporting & Compliance Prepare and distribute quarterly union reports and ensure accurate application of union benefit provisions. Maintain knowledge of CBAs to ensure compliance with all contractual obligations. Maintain organized, audit-ready records for dues and benefit programs. Stakeholder Collaboration Serve as the primary liaison between employees, unions, HR, Payroll, and Finance for dues and benefit matters. Support new hires with union benefit orientation and respond to internal and external union-related inquiries. Qualifications
Education & Experience Bachelor's degree in Human Resources, Accounting, Finance, or related field preferred. Minimum 2–3 years of experience in payroll, benefits administration, or union/collective bargaining environments. Strong understanding of union dues processes, labor agreements, and reporting requirements. High attention to detail and ability to meet strict deadlines. Skills & Competencies High attention to detail and accuracy in financial and employee recordkeeping. Strong analytical and reconciliation skills. Excellent written and verbal communication skills. Ability to manage multiple priorities and meet strict deadlines. Proficiency in Microsoft Excel and HR/payroll systems (ADP, Workday, or similar). Working Conditions
Standard office environment with occasional extended hours to meet reporting deadlines. Position may require coordination across multiple time zones. Success Factors
Consistently processes dues on time and without error. Produces accurate, timely quarterly union reports. Maintains compliance and audit readiness at all times. Builds collaborative, solution-oriented relationships with unions, HR, Payroll, and Finance.
