What You"ll Do
Administers Arrive’s employee benefits programs, including medical, dental, vision, life insurance, supplemental programs, wellness initiatives, and the 401(k) plan. Manage all aspects of benefits program administration: daily administration, funding timeliness, reporting, auditing, corrections, and continuous improvement of the employee experience while ensuring compliance. Workday reporting, business processes, SOP creation and testing in new build outs within the system, in partnership with HRIS. Resolve employee questions by interpreting benefit policies and procedures, delivering best-in-class employee experience with timely responses and implementing efficient processes as needed. Manage PTO policies with oversight of the benefits manager; address employee and manager questions regarding PTO, wellness, and holidays. Coordinate enrollment for new hires, life events, and open enrollment periods; ensure enrollments and changes are accurate, explain plan options, assist with selections, create and deliver communications, and set up on-site meetings and educational webinars. Understand the employee population across departments to improve team communication about benefits offerings. Provide benefits information and education to new hires during onboarding. Maintain general system upkeep, collaborating with the HRIS team on Workday setups and testing, auditing external systems, accurate data entry, manual uploads as needed, weekly vendor file integrations, and troubleshooting errors. Respond to benefits inquiries from managers and employees on plan provisions, eligibility, enrollments, status changes, and other inquiries with focus on employee experience and timely responses. Partner with Mexico generalists to answer benefits questions and prepare onboarding materials; serve as the main contact for Canada and Expat employees with oversight from the benefits manager. Ensure compliance across all benefits programs and policies with applicable federal and state laws (ERISA, COBRA, ACA); collaborate with the Benefits Manager to implement changes as needed. Partner with our benefits broker and benefits manager to complete non-discrimination testing annually. Handle self-bill invoices for select carriers. Collaborate with the HR Operations team to document processes, keep them up-to-date, and store in a central location; update SOPs to improve efficiency and train colleagues as needed. Maintain benefits portals with the benefits broker and manager to ensure an employee- and candidate-centric experience. Suggest and implement on-site benefits initiatives at each location in collaboration with HR Generalists and local leadership to ensure a consistent employee experience across offices. Manage all on-site benefits programs at our Austin HQ. Oversee gym memberships across locations. Organize PHI & PII storage while maintaining HIPAA compliance. Handle workers’ compensation claims as they arise. Collaborate with the Leave of Absence Specialist and serve as a backup for leaves and ADA requests as needed. Qualifications
Bachelor’s degree in Human Resources or related field. 2+ years of experience in HR benefits administration. Strong understanding of employee benefits laws and regulations. Excellent communication and interpersonal skills with the ability to explain complex benefits information to employees. Strong analytical skills and the ability to interpret and analyze data. Detail-oriented with the ability to manage multiple tasks and deadlines. Commitment to ongoing professional development through educational opportunities and webinars.
