ADMINISTRATIVE COORDINATOR II General Description Under the general direction of the Solid Waste Coordinator, this position is responsible for overall administrative management of solid waste, and litter control activities in the city as well as monitoring the collection of franchisees. This position performs other related duties as assigned. Position exercises a high degree of independent judgment in selection of work methods and procedures required to achieve the assigned tasks. Chain of Command/ Reports To This position reports directly to the Solid Waste Coordinator or as established through the chain of command to the City Manager. Responsibilities Organizes, prioritizes, and assigns work; prioritizes and schedules work activities of clerical staff; ensures resources are available; monitors progress and inspects completed work; provides technical guidance; reports progress to management; assists with procedures revision as appropriate.

Leads and coordinates daily work activities of subordinate support and customer service staff; communicates priorities; monitors work; assists with training and supervision; provides input on disciplinary actions and performance evaluations.

Serves as liaison between the department and other departments, staff, officials, the public, and outside agencies for routine information distribution; handles sensitive client relations and circulates documentation.

Serves as departmental human resources liaison; prepares new employee paperwork; processes payroll-related documentation; reviews timesheets; tracks sick and vacation time; enters payroll data; maintains confidential files and records.

Provides administrative/secretarial support; screens communications; records and transcribes dictation; prepares and edits documents; maintains calendars; coordinates travel and meeting logistics.

Processes documentation pertaining to budget or financial management; reviews invoices; enters budget data; assists with budget preparation; monitors expenditures; reconciles records; maintains petty cash and bank deposits.

Processes purchasing documentation; obtains competitive quotes; orders materials; ensures proper accounting codes; maintains files.

Receives and sorts incoming documentation; distributes mail and packages; processes outgoing mail; distributes forms and reports as needed.

Handles customer service functions in person, by phone, and by mail; provides information, resolves routine issues, may process payments and receipts, and records transactions.

Provides administrative support for boards and committees; prepares agendas and packets; coordinates meeting logistics and facilities; notifies participants; handles public notices as required.

Qualifications Experience: Administrative experience in municipal or governmental settings preferred; strong organizational, communication, and problem-solving skills.

Skills: Ability to manage multiple tasks, supervise staff, and interact with the public and officials; proficiency with budgeting, payroll processing, and records management.
